Role Purpose

This role involves managing project documentation across numerous projects, ensuring impeccable accuracy, version control, and traceability. The Document Controller administers document management platforms including Aconex, SharePoint, and Autodesk Construction Cloud to guarantee timely distribution, transmittal, and retrieval of project data. They support project and engineering teams by properly logging, filing, and making technical documentation accessible, adhering to the company's IMS/QMS procedures.

Key Responsibilities

  • Establish and maintain project document control systems such as Aconex, SharePoint, and ACC following project and company standards.
  • Upload, register, code, and manage the distribution of both incoming and outgoing project documents, drawings, and correspondence.
  • Track document statuses, revisions, and approval workflows, ensuring robust version control across all platforms.
  • Issue document transmittals and maintain comprehensive registers and audit trails.
  • Collaborate with project teams, subconsultants, and clients to ensure documentation submissions and receipts meet deadlines.
  • Report on outstanding documentation actions, turnaround times, and ensure compliance with project schedules.
  • Organize electronic and physical filing systems complying with company IMS/QMS requirements.
  • Provide training and guidance to project staff regarding document management platform usage.
  • Maintain confidentiality and secure handling of all project information.
  • Escalate complex or unusual document control cases to the Document Control Lead for evaluation.

Qualifications and Experience

  • Possess a Bachelor's degree, diploma in a relevant discipline, or have equivalent industry experience.
  • Have at least 3 to 4 years of experience as a Document Controller within engineering, architectural, or construction consultancy settings.
  • Demonstrated proficiency with document management tools such as Aconex, Microsoft Office suite (Word, Excel, Outlook), SharePoint, and Autodesk Construction Cloud.
  • Strong understanding of document control best practices including numbering systems and transmittal procedures.
