Job Overview

The role of Crew Scheduling Specialist involves applying specialized knowledge in crew scheduling to manage various logistical and administrative tasks related to offshore personnel. Operating with moderate oversight, the specialist tackles straightforward scheduling problems by examining options using standard methods and deepening understanding of company operations and customer needs.

Key Responsibilities

  • Manage offshore crew recruitment lifecycle including conducting interviews, verifying references, handling medical clearances, PPE coordination, payroll, and onboarding documentation in line with company HR standards.
  • Plan and oversee COVID-19 protocols to ensure all crew arrangements follow compliance requirements.
  • Create, update, and administer offshore personnel rosters and logistics database effectively.
  • Arrange and book helicopter flights, travel accommodations, transfers, and associated logistics for offshore staff.
  • Coordinate crew movements for international vessels.
  • Plan and execute travel logistics for crew mobilization to and from work sites.
  • Collaborate closely with offshore administrators and crewing teams to ensure precision in recording crew transport and movement data.
  • Coordinate with subcontractors to approve personnel assignments, ensure project-specific training completion, manage rosters, travel, and logistics.
  • Maintain and regularly update HR files, visa databases, tax information, and related personnel registers.
  • Facilitate issuance of personal protective equipment to crew members.
  • Handle applications for international visas required for offshore personnel.
  • Organize tax briefings and provide tax-related support to offshore workers.
  • Coordinate logistics related to cyclone evacuation plans.
  • Interpret and implement company HR policies and initiatives.
  • Collect and report data on contractor and subcontractor personnel movement.
  • Understand and apply offshore craft certification requirements.
  • Plan and coordinate training logistics, including pre-project familiarization and competency training in collaboration with Training and HSES departments.
  • Assist in organizing project induction sessions and general administrative support tasks.
  • Prepare timesheets for offshore personnel temporarily assigned to remote onshore locations.

Qualifications and Requirements

  • Diploma or equivalent experience required.
  • At least 3 years’ proven experience in HR, crewing, and logistics roles.
  • Essential experience within the oil and gas offshore construction industry.
  • Strong interpersonal and communication skills.
  • Familiarity with online crew management systems.
