Position Overview
The Concierge acts as the primary point of contact for employees, visitors, clients, and partners, delivering exemplary hospitality and ensuring smooth daily workplace operations. As part of the Facilities & Office Services and Workplace Experience team, this role embodies the company's values by providing outstanding service, maintaining office readiness, and fostering employee engagement.
This position surpasses traditional reception by anticipating needs, managing visitor experiences, assisting VIP clients, coordinating meetings and events, and creating an inviting and well-organized office environment.
Key Responsibilities
- Welcome and assist all workplace entrants warmly and professionally, managing front desk operations including visitor registration, security compliance, and communication.
- Deliver a hospitality-centered atmosphere by anticipating needs, coordinating refreshments, maintaining hospitality areas, and supporting employee celebration efforts.
- Assist onboarding new hires with workspace preparation and orientations, coordinate employee engagement, manage announcements, and gather workplace feedback.
- Ensure workplace functionality via regular walkthroughs, maintenance reporting, meeting room preparedness, workspace setups, and upkeep of communal areas.
- Support meetings and events by arranging rooms, audiovisual equipment, catering, guest reception, and managing event logistics including registration and attendance.
- Facilitate positive visitor and candidate experiences, including escorting guests, coordinating parking, overseeing vendor check-ins, and ensuring policy compliance.
- Oversee office services such as mail and courier coordination, deliveries, supply requests, locker management, lost and found, and workplace reservations.
- Manage workplace communications including announcements, facility updates, emergency notifications, signage, responding promptly to inquiries, and escalating issues as needed.
- Coordinate with third-party vendors like pantry, catering, and supply providers, as well as building management, monitoring service quality and addressing concerns.
- Support workplace health, safety, and security by enforcing security protocols, maintaining emergency information, assisting during drills and incidents, and liaising with security personnel.
- Assist Facilities & Workplace Experience team with administrative duties including recordkeeping, tracking service requests, processing purchases, and preparing reports.
- Promote continuous improvement through recommending service enhancements, identifying efficiency opportunities, collecting feedback, participating in innovations, applying hospitality best practices, and fostering a service excellence culture.
- Organize employee-focused events and initiatives that enhance engagement, culture, and workplace wellness, managing logistics, vendors, catering, budgets, and event execution.

Qualifications
- Preferred bachelor's degree in Hospitality Management, Business Administration, Communications, or a related discipline.
- Three to five years of experience in hospitality, concierge, executive reception, customer service, office administration, or workplace experience ideally within corporate, technology, or premium service settings.
- Proficiency with Google Workspace, AI tools, Microsoft Office, Slack, visitor management, and workplace platforms.
