Role Overview
We are seeking an experienced Administrative Lead to oversee workplace operations, corporate travel, facilities, and administrative functions across the organization. This position entails driving operational excellence, building scalable administrative processes, managing vendor partnerships, and ensuring a seamless employee experience across office sites.
Key Responsibilities
- Lead comprehensive administration functions across offices to maintain efficient workplace operations and an excellent employee environment.
- Create and enforce administration policies, SOPs, and governance frameworks.
- Continuously enhance processes to boost operational efficiency.
- Ensure adherence to statutory requirements, safety, and workplace regulations.
- Manage and optimize domestic and international corporate travel operations, balancing policy compliance, employee experience, and cost efficiency.
- Oversee relationships with travel vendors including agencies, airlines, hotels, and visa providers.
- Monitor travel expenditures and trends, implementing cost control strategies.
- Supervise office infrastructure management, maintenance, space planning, expansions, and workplace projects.
- Ensure smooth operations of facilities, security, housekeeping, cafeteria, transport, and employee support services.
- Lead office setup, relocations, and workplace transformation efforts.
- Establish and maintain strategic partnerships with vendors and service providers.
- Conduct contract negotiations, review vendor performance, and manage SLAs.
- Oversee budgets related to administration and travel, identifying opportunities to reduce costs and improve efficiency.
- Collaborate with leadership and cross-functional teams including HR, Finance, Procurement, and Legal to drive administrative initiatives.
- Serve as the main point of contact for administration-related escalations and requirements.
- Lead cross-functional projects aimed at enhancing workplace and employee experiences.
- Guide, mentor, and develop the administration and facilities teams, fostering ownership and accountability.
- Assign responsibilities and monitor team performance to build scalable operations.
- Prepare MIS dashboards and leadership reports on administration activities, travel, vendor performances, and budgets.
- Track KPIs, analyze trends, and advise leadership on actionable improvements.
- Champion automation and digital transformation across administrative processes.
Candidate Profile
- 8 to 12 years of relevant experience in administration, facilities management, corporate travel, or workplace operations.
- Demonstrated history of leading administration teams in large companies or high-growth startup environments.
- Proficient in corporate travel and vendor management, workplace operations, and facilities oversight.
- Experienced in managing administration budgets, vendor contracts, and cost efficiency measures.
- Familiar with managing multi-location office administration and expansion projects.
- Strong stakeholder engagement, negotiation, and communication abilities.
- Skilled in project management and execution.
- Analytical thinking with competence in Excel, Google Sheets, and MIS reporting.
- High ownership drive, with the capability to build and scale administrative functions effectively.
