Position Overview
Under the guidance of the Program Director for the Wingspan: Center for Learning and Writing Support, this position oversees customer service operations and offers administrative assistance within the Wingspan unit, part of University Academic Support Centers (UASC). The Administrative Associate is the frontline customer service representative for Wingspan, supported by student office assistants (OAs), whom this role supervises on-site, including their recruitment, training, and management. Additional administrative tasks supporting Wingspan's daily functions are part of the responsibilities.
About University Academic Support Centers (UASC)
The UASC is dedicated to enhancing student academic skills and written communication at the University of Kansas. It promotes students' intellectual and holistic development by fostering active engagement inside and outside the classroom, coordinating programs that teach life management, decision-making, and learning skills, and connecting students to beneficial resources. The UASC includes Wingspan, the Student Access Center, and the University Testing Center, operating within the Office of Academic Success.
Key Duties and Responsibilities
- Manage recruitment, scheduling, and supervision of up to 14 student office assistants who support front desk and office operations.
- Develop and deliver training, coordinate professional growth, and conduct performance evaluations for OAs focused on customer service and management of appointment and progress reporting systems such as Jayhawk GPS (EAB Navigate).
- Participate in the Jayhawk GPS/Progress Report Committee; facilitate outreach to students using the progress report system, supervising OAs in making follow-up calls and emails.
- Collaborate with Administrative Associates from other UASC departments to cross-train OAs and maintain seamless administrative support and customer service.
- Ensure the OA team communicates the full scope of services and resources available through UASC effectively.
- Provide administrative support to eight professional staff within Wingspan.
- Handle communications via phone, multiple Outlook email accounts, and Microsoft Teams.
- Assist program managers and the director in organizing workshops, meetings, and reserving campus spaces.
- Manage supply orders and maintain the Wingspan workspace; process purchasing requests for events such as retreats and trainings.
- Attend team meetings to document discussions, prepare agendas, and solicit input beforehand.
- Represent Wingspan services at campus events including orientation and Hawk Week; coordinate classroom presentations delivered by OAs about Wingspan offerings.
- Perform other duties as assigned to support the unit's goals.
Qualifications
- Required: High school diploma or GED plus two years' office experience or two years of postsecondary education.
- Preferred: Bachelor's degree; prior supervisory experience in higher education settings; experience at the University of Kansas; ability to work independently in a busy office environment; proven skills in clear and sensitive communication of complex information.
