Join Active Development, a boutique consulting and advisory firm based in Spain providing consulting and training services.
Role Overview
This position offers comprehensive administrative support including accounting, finance, secretarial duties, and assistance in project administration.
Key Responsibilities
- Manage and track invoices and accounts receivable.
- Perform monthly and quarterly accounting closures.
- Handle expense justifications such as meal allowances.
- Serve as liaison with external accounting firms.
- Coordinate the director’s schedule and logistics including travel, accommodation, and allowances.
- Attend to client phone calls and welcome visitors personally.
- Manage reservations and scheduling for meeting rooms and videoconferences.
- Oversee office supply inventory and procurement.
- Provide operational support to projects by opening work orders, tracking progress and budget adherence, gathering cost data (hours, expenses, travel, meal allowances), and transferring completed work orders to invoicing and closing with result calculations using the company's internal ERP system.
Candidate Requirements
- Higher Vocational Training in Administration or a degree in Business Administration and Management.
- Proficient with office software including email and Microsoft Office tools.
- Experience with accounting software such as Odoo or equivalents like Siigo or World Office.
- Organized, detail-oriented, patient, service and results driven.
- Native Spanish speaker; English language skills are a plus.
- At least 2 years of experience in administration and accounting.
Work Schedule and Conditions
- Full-time position working Monday through Friday.
- Shift timing from 7:00 AM to 2:00 PM.
- Salary to be negotiated.
