Role Overview
The Workplace Manager position based in Cork is pivotal in managing day-to-day workplace operations and enhancing employee and visitor experiences. This on-site role requires hands-on leadership to maintain an office environment that aligns with company values, boosts productivity, and fosters inclusivity.
Key Responsibilities
- Supervise daily operations of workplace services such as reception, food and beverage, janitorial, mail, shipping, and office supplies.
- Maintain a safe, welcoming office atmosphere consistent with company branding and culture.
- Oversee space planning and allocation, including seating arrangements.
- Collaborate with workplace teams to design and implement a proactive facility management and maintenance program.
- Lead Moves, Adds, and Changes (MAC) projects by coordinating with business units, IT, Security, and property teams; manage permits and small-scale construction projects.
- Handle facilities emergencies and communicate effectively with staff and leadership using Slack and email.
- Manage office budgets with detailed fiscal planning, tracking, forecasting, and conducting accruals reporting.
- Manage vendor contracts and service delivery for janitorial, maintenance, catering, and office supplies.
- Conduct regular vendor performance reviews and audits to ensure service quality.
- Partner with Procurement and Finance to manage costs, budgeting, and contract renewals, including issuing and tracking purchase orders.
- Oversee vendor staff training, scheduling, and daily management.
- Support onsite events, all-hands meetings, executive visits by coordinating furniture, janitorial, and catering services.
- Collaborate with IT for audio-visual and conference room technology support.
- Serve as a primary liaison with building management and landlords.
- Work alongside Security teams to maintain a safe and compliant workplace.
Required Qualifications and Skills
- Minimum 10 years’ expertise in facilities management, workplace operations, or hospitality services.
- Proven success managing large office environments and cross-functional workplace programs.
- Strong skills in vendor management and contract negotiations.
- Excellent communication and interpersonal abilities to professionally represent the company.
- Experience in preparing clear communication for employees and executives.
- Proficiency with workplace technologies such as ServiceNow, Envoy, or related space management platforms.
- Exceptional organizational skills, proactive mindset, and flexibility in a fast-paced setting.
- Robust project management and analytical capabilities.
- Bachelor’s degree in Facilities Management, Real Estate, Architecture, or a related discipline preferred.
- In-depth understanding of regional regulatory and compliance standards.
- Familiarity with systems like Coupa, ServiceNow ticketing, and similar tools highly appreciated.
- Strong passion for enhancing workplace experience and commitment to customer-centric service.
- Ability to stay calm and agile during fast-changing or high-pressure situations.
- Exemplary professionalism, positive engagement, and teamwork spirit.
- Willingness to be physically present onsite and provide after-hours support during escalations.
