About the Role and Organization
Dragonfly, a Focused Research Organization under Convergent Research, aims to map the elusive cosmic web connecting galaxies through a pioneering distributed-aperture telescope setup involving over 1000 advanced telephoto lenses. To furthering this mission, we seek a driven Project Coordinator to oversee tracking and managing thousands of components from procurement through installation. This role reports to the Project Administrator and includes collaboration with a close-knit technical team of 4-5 members. The position is initially contracted for six months with possible extension.
Key Responsibilities
- Manage and review shipment communications, identifying those requiring follow-ups or escalations.
- Alert project leadership about delayed or at-risk shipments.
- Report when crucial shipments have been delivered or delivery confirmed.
- Assist in preparing shipping documents such as FedEx labels, commercial invoices, packing lists, and customs paperwork.
- Track orders from placement through delivery, following up on any delays or missing updates.
- Update inventory daily, ensuring accuracy and currency of records.
- Monitor inventory levels and flag items needing replenishment.
- Facilitate communication with partners concerning shipment status and documentation.
- Coordinate team travel logistics, including planning trips, scheduling, accommodation, and transportation arrangements.
- Provide general support for project coordination relating to logistics, procurement, inventory, and travel.
Required Skills and Qualifications
- Strong communication capabilities, self-direction, and problem-solving skills.
- Excellent organizational and time management abilities.
- Proficiency in Microsoft Office or equivalent office productivity software (e.g., Google Docs/Sheets).
- Bachelor’s degree in business communication, administration, or a related discipline.
- Knowledge of task management platforms such as Jira, ClickUp, Notion, or MS Project is advantageous, especially creating tasks, dashboards, and Gantt charts.
- Experience in start-up environments is considered a plus.
Compensation and Benefits
- Flexible working hours and remote location options with occasional in-person meetings.
- Office workspace availability in Victoria, BC or Calgary, AB for local employees.
- Competitive annual salary range of $60,000 to $75,000 USD, commensurate with experience and location (salary adjusted based on employee location).
