Role Overview
We are looking for an energetic and skilled Procurement Officer to join our Procurement Department. Collaborating closely with the Procurement Manager, your role involves managing the sourcing and ordering of food and non-food inventory. Your responsibilities include generating purchase orders timely in compliance with company guidelines, ensuring correct pricing and quantities, and maintaining strict quality and freshness standards across all products. You will support uninterrupted supply chains for Supermac’s, the Plaza Group, and the Só Hotel Group.
Key Responsibilities
- Provide comprehensive administrative assistance across procurement and ordering activities for Supermac’s Group entities at the Procurement Manager's direction.
- Offer proactive support for all tasks delegated by the Procurement Manager.
- Administer the Procure Wizard hotel procurement software and manage related daily and weekly reports.
- Assist with procurement operations across multiple divisions including Barista, Deli, Supersubs, crockery, storage containers, utensils, and other ancillary requirements.
- Continuously improve and coordinate ordering processes to maintain transparency and control over vital procurement details.
- Conduct day-to-day ordering for hotel and head office warehouses following established procedures.
- Collaborate with hotel, deli, and New Product Development teams to share preemptive information and plan strategically alongside the Procurement Manager.
- Ensure seamless procurement operations across hotels by managing access rights for re-order personnel and resolving issues that department heads encounter.
- Oversee the Procure Wizard system's upkeep, including supplier and product data fidelity.
- Work alongside Hotel Accounts teams to monitor margins, analyze revenues, set item prices accurately, and cost recipes for margin control.
- Manage purchase orders, product setups, supplier issue resolution, credit requests, reconciliation, and procurement admin tasks.
- Support hotel Heads of Departments and procurement users to optimize the Procure Wizard platform’s utilization.
- Develop and sustain strong vendor relationships, handle stockout resolution, and serve as the liaison between suppliers and end users.
- Coordinate receipt and storage of bulk purchases with the Procurement Manager.
- Report supplier-related issues to the Procurement Manager and assist with new menu costing reports when requested.
Candidate Requirements
- Minimum of two years’ demonstrated experience in hotel procurement or supply chain management, preferably in food service, hospitality, or retail.
- Well-versed in purchasing software such as Procure Wizard, cost control techniques, and supplier negotiation skills.
- Proven track record of achieving cost savings while upholding premium product quality standards.
- Knowledgeable about food safety regulations and inventory management systems.
- Excellent interpersonal, analytical, leadership skills coupled with attention to detail and numeracy.
- Highly competent with procurement software and ERP platforms, and comfortable using technology.
