Job description

Role Overview

The Payroll Specialist plays a vital role within the Human Resources team, responsible for comprehensive payroll management across Canada and the US, covering roughly 285 employees. This position utilizes tools such as UKG Pro and WFM to ensure payroll accuracy and timeliness, along with coordination of payroll processes with third-party providers in international locations including the United Kingdom, Australia, UAE, and Malaysia. Although primarily based onsite at the Airdrie Depot, some remote working is permitted.

Key Responsibilities

  • Execute bi-weekly payroll cycles for salaried and hourly employees in Canada and the USA, guaranteeing timely and precise payments.
  • Manage monthly payroll for international staff with support from external agencies for markets including the UK, Australia, Malaysia, UAE, and other international payments.
  • Audit payroll reports meticulously for each run to verify correctness and completeness.
  • Make timely remittances of source deductions, benefits contributions, and tax payments to appropriate government entities and benefit providers.
  • Oversee full payroll processes from start to finish, incorporating benefit billing, tax remittance, and deductions accurately.
  • Identify, investigate, and recommend improvements for payroll process adjustments.
  • Maintain payroll integrity by ensuring data accuracy and serving as a confidential advisor for payroll inquiries from employees and leadership.
  • Collaborate with the HR department to identify and remedy potential deficiencies in internal payroll procedures and documentation, promoting continuous improvements.
  • Complete monthly tasks such as processing payroll and benefit invoices, posting payroll journals, reconciling clearing accounts, and handling payroll accruals.
  • Handle workers’ compensation payments and annual reporting across all jurisdictions.
  • Review and audit annual PIER (Payroll Information Electronic Reporting) reports.
  • Prepare year-end tax documentation including T4 and W2 forms, along with assorted payroll reports as required.
  • Issue Records of Employment promptly through UKG Pro.
  • Support month-end and year-end payroll requirements, including those related to workers’ compensation, in coordination with Finance.
  • Respond swiftly to employee payroll inquiries maintaining a professional and confidential approach.
  • Assist the HR Director or designate with payroll reporting and analytics.
  • Drive improvements and adaptations in the UKG Pro platform and payroll system tools to align with evolving business needs.
  • Develop, update, and maintain clear written policies and procedures for payroll operations.
  • Take ownership and actively support Health, Safety, and Environment (HSE) initiatives.
  • Perform additional related duties as assigned.

Qualifications and Experience

  • Post-secondary education in Payroll, Human Resources, Business Administration, or related field, or equivalent combination of skills and experience.
  • Possession of Payroll Compliance Professional (PCP) certification is required.
  • At least five years of relevant payroll experience, ideally involving the use of UKG Pro and WFM platforms; experience with alternative payroll systems will be considered.
  • Strong knowledge of federal, provincial, and local payroll and HR compliance requirements.
  • Proficient in Microsoft Office Suite applications including Excel, Word, Teams, Outlook, and PowerPoint.
  • Demonstrated reliability, dedication to payroll responsibilities, and a commitment to ongoing professional development.
  • Excellent verbal and written communication skills.
  • Ability to maintain a high level of integrity, confidentiality, and exercise discretion in handling sensitive payroll information.
  • Experienced in managing deadlines effectively and delivering precise payroll outputs within a collaborative team environment.
