Role Overview
We are seeking a Human Resources (HR) Administrator for a contract-to-permanent position based in Vienna, Virginia. This role is dedicated to supporting HR compliance functions by overseeing credential collection, ensuring employee record accuracy, and communicating effectively with candidates to obtain necessary documentation.
Key Responsibilities
- Reach out to candidates and employees to promptly obtain certifications, licenses, and other compliance documents.
- Review credential submissions for completeness, following up on missing or expired materials.
- Maintain and organize precise HR records using digital folders and tracking tools.
- Facilitate administrative HR workflows to promote efficient onboarding.
- Track document status to uphold compliance standards and prepare for audits.
- Keep clear and consistent communication with candidates, colleagues, and stakeholders regarding documentation requirements and next procedures.
- Efficiently manage multiple ongoing tasks under tight deadlines in a high-volume environment.
- Utilize Microsoft Office applications to develop, monitor, and archive HR reports, files, and communication.
Candidate Profile and Requirements
- Minimum one year of experience in HR administration, credentialing, compliance, or a similar support role.
- Experience with background checks, document collection, and onboarding processes.
- Excellent verbal and written communication, comfortable with frequent outbound calls.
- Capability to thrive in a fast-paced setting while accurately balancing competing priorities.
- Proficiency in Microsoft Outlook, Word, Excel, and familiarity with HRIS systems.
- Strong organizational aptitude and meticulous attention to detail regarding documentation accuracy.
- Self-driven with a quick learning curve and initiative-taking attitude.
