Overview

Proxy Retail Group, Inc. is looking for a flexible HR Generalist to act as the main contact for HR-related questions and operational support within the company. This hybrid role involves traditional HR duties combined with administrative and operational tasks, focusing on effective payroll, benefits, vendor management, compliance oversight, and fleet operations. The ideal candidate should be proactive, skilled in problem-solving, and able to implement automation tools to enhance process efficiency and compliance, reducing organizational risks. While deep HR expertise is not required due to statutory compliance being managed externally by a PEO partner, this role demands operational adaptability, initiative, and strong attention to detail across multiple areas including accounts payable, event planning, and executive assistant-style responsibilities.

Key Responsibilities

  • Handle payroll and financial administration including expense report processing and accounts payable management within QuickBooks.
  • Manage payroll-related insurance and coordinate employee benefits such as 401k enrollment and health insurances, liaising with external PEO for annual renewals.
  • Be the primary resource for employee inquiries regarding policies, payroll, benefits, PTO, and other HR matters.
  • Lead new hire orientation, onboarding, offboarding, and employee termination procedures while ensuring HIPAA and COBRA compliance.
  • Support employee relations, including disciplinary actions, performance appraisals, and grievance handling.
  • Maintain precise physical and electronic employee records encompassing benefits, attendance, and performance documentation.
  • Assist management in recruitment processes by creating job descriptions, conducting interviews, and issuing offer letters when needed.
  • Administer vendor onboarding and maintain ongoing vendor relations, tracking contracts, insurance certificates, and managing regulatory correspondences.
  • Oversee fleet management activities including monitoring vehicle telematics against mileage reports and scheduling maintenance.
  • Plan and coordinate company events and meetings.
  • Develop and implement workflow automation using tools like Power Automate to streamline reminders and compliance tracking.
  • Identify process improvement opportunities to automate repetitive tasks across HR and operational functions.

Qualifications

  • Bachelor's degree or equivalent experience in Business, HR, or a related discipline.
  • 2 to 4 years of experience in HR, administrative, or operational roles, preferably as an HR or Administrative Assistant.
  • Experience with payroll processing, benefits administration, vendor and fleet management is highly desirable.
  • Professional certifications such as SHRM-CP or PHR are advantageous but not mandatory.

Skills & Competencies

  • Strong written and verbal communication paired with interpersonal skills to foster organizational relationships.
  • Excellent organization and time management capable of juggling multiple priorities and meeting deadlines.
  • Analytical thinker with problem-solving skills and meticulous attention to detail.
  • Proficient in Microsoft Office, QuickBooks, HRIS platforms, and preferred experience with automation tools like Power Automate.
  • Knowledgeable in fleet management software such as Ford Telematics and compliance monitoring systems.
  • Maintains confidentiality and exhibits integrity when handling sensitive information.
  • Basic understanding of employment laws including FMLA and ADA with the ability to assimilate company-specific practices quickly.
  • Self-driven and motivated to take initiative and ownership without constant supervision.
  • Empathetic with abilities in conflict resolution and promoting employee engagement through collaboration.

Additional Information

  • Reports directly to the President and Vice President; no direct reports.
  • Role is remote, preferably within Eastern or Central Time zones, and follows Monday to Friday, 8:00 AM to 5:00 PM with occasional flexibility required.
  • Travel is minimal, less than 10% of the time.
  • Physical demands include extended periods of desk work and occasional lifting up to 15 pounds; access to office facilities as necessary.
