Overview

The Facilities Coordinator position is part of the Global Workplace Solutions division, which leads innovations in real estate workplace management. This role operates in the Facilities Management spectrum, supporting property managers with asset operations, repairs, and investment planning from Hamilton, New Zealand.
Key Responsibilities
- Collaborate with landlords, tenants, and service providers to ensure adherence to established procedures, policies, and reporting standards.
- Respond to client inquiries and manage all work order collections and documentation.
- Compile reports assessing performance and progress status of facilities tasks.
- Serve as the main contact point between clients, landlords, vendors, and service providers to coordinate seamless delivery of workplace and facilities services.
- Oversee company fleet and pool vehicle operations including reservations, utilization tracking, reporting, and vendor management.
- Maintain departmental records, including work orders, vendor proposals, and other paperwork.
- Supervise exterior building activities such as waste disposal and recycling protocols.
- Assist in workplace projects and office relocations by managing move plans, furniture logistics, vendor coordination, office setup, and communications with stakeholders.
- Offer facilities coordination assistance for additional remote office sites as necessary.
- Follow instructions, correspondence, and memos; seek clarifications when needed to ensure accuracy.
- Address standard queries and complaints from clients, coworkers, and supervisors professionally.
- Utilize defined procedures to resolve straightforward issues while working under supervision.
- Work independently managing various facilities priorities while maintaining customer service excellence.
Required Qualifications and Skills
- High school diploma or GED with up to two years of relevant work experience in a related position.
- Basic mastery of routine work processes and standards.
- Effective communication skills for exchanging straightforward information.
- Experience coordinating multiple vendors, contractors, and stakeholders in corporate environments.
- Strong problem-solving and conflict resolution abilities to address employee and stakeholder requests effectively.
- Experience in office relocations, workplace projects, or transformation initiatives preferred.
- Proficient use of Microsoft Office tools such as Word, Excel, and Outlook.
- Excellent organizational capabilities coupled with a curious mindset.
- Basic arithmetic skills to calculate figures like percentages, discounts, and markups.
