Role overview
This permanent Executive Assistant role is based in downtown Toronto, Ontario, with a hybrid schedule of four days in the office and one day working remotely. The position supports senior leaders at a well-established private equity firm that invests in and helps scale businesses in the healthcare, business services, and consumer services sectors.
In this role, you will act as a reliable partner to executives, helping them stay organized through careful planning, efficient coordination, and strong administrative support. The environment is fast-moving and entrepreneurial, so the ideal person will be comfortable taking initiative, using sound judgment, and handling sensitive matters with discretion.
Key responsibilities
You will support Partners and other internal teams while helping priorities move forward in a collaborative, high-performance workplace.
- Oversee complex executive calendars and make independent decisions when competing priorities need to be balanced.
- Arrange business travel end to end, including airfare, lodging, local transport, and detailed itineraries.
- Draft agendas, briefing materials, presentation decks, and follow-up documents with limited guidance.
- Submit expense claims and benefits-related paperwork accurately and within required deadlines.
- Act as a polished and professional contact for internal and external stakeholders while protecting confidentiality at all times.
- Handle personal administrative tasks when needed, such as bookings, appointments, reservations, and special arrangements.
- Support the broader administrative team during absences and vacations, and remain available outside standard business hours when necessary.
Required background
- At least 4 years of experience in an Executive Assistant or senior administrative position supporting more than one executive at the same time.
- Strong written and verbal English communication skills.
- Solid decision-making and problem-solving ability, including comfort working through ambiguity and knowing when to act independently or escalate.
- Hands-on experience with Microsoft Outlook, Word, and Excel; PowerPoint is an added advantage.
- Proven ability to manage confidential and sensitive information with professionalism and restraint.
- Excellent organization, strong attention to detail, and a proactive, solutions-oriented mindset.
- Post-secondary education is preferred.
