About the Role
This position is open to candidates located in Latin America, Africa, and Eastern Europe. As the role supports clients based in the United States, candidates must be available to work during U.S. business hours aligned with the client’s time zone (9:00 AM - 5:00 PM EST). The Executive Assistant will act as a strategic partner to executive leadership within a dynamic, fast-paced setting, helping leaders manage priorities by driving projects, coordinating across teams, managing communications, and streamlining daily operations.
Key Responsibilities
- Handle complex executive calendar management, coordinating meetings with various stakeholders, and resolving scheduling conflicts proactively.
- Organize meeting agendas, record action items, and ensure timely follow-up on deliverables.
- Arrange domestic travel logistics and itineraries as needed.
- Oversee cross-functional projects from initiation through completion, monitoring timelines and driving accountability among stakeholders.
- Detect and escalate obstacles, while proposing practical solutions to keep initiatives on track.
- Use project management tools like Asana to monitor project progress effectively.
- Draft professional communications such as emails, presentations, reports, and other executive documents.
- Perform research and prepare briefings to assist in strategic decision-making.
- Maintain confidential files and organizational procedures with discretion and professionalism.
- Serve as a liaison between executive leadership and internal teams, facilitating communication and alignment.
- Support special projects and initiatives aimed at enhancing operational efficiency and organizational processes.
Qualifications and Skills
- Between 3 to 5 years of experience assisting senior executives, founders, or C-level leaders, particularly in executive assistance, project coordination, or operations.
- Proficiency in managing multiple priorities within a fast-moving business environment.
- Strong written and verbal communication skills in English.
- Excellent organizational skills and time management capability.
- Competence in project management with strong follow-through abilities.
- Advanced user of Microsoft Office Suite and Google Workspace applications.
- Experience with project management software such as Asana or equivalent platforms.
- Ability to prioritize independently and manage competing deadlines effectively.
- Good critical thinking, problem-solving, and decision-making skills.
- Attention to detail while maintaining a broad strategic perspective.
- Demonstrated professionalism, discretion, and capacity to handle confidential materials.
