Role Overview
The Executive Administrative Assistant will work from Montréal in a hybrid capacity, balancing office presence with remote work. This role entails providing senior leadership with comprehensive administrative support, including calendar and meeting management, travel arrangements, and preparing meeting agendas and materials. Responsibilities extend to managing communications, screening calls, keeping contact records up-to-date, and assisting with presentations, reports, and internal messaging. The assistant will also handle organizational tasks like maintaining files, document formatting, event coordination, and ensuring office operations run seamlessly. Success requires discretion, meticulous attention to detail, proactive problem-solving, and the skill to prioritize in a dynamic, research-focused setting.
Qualifications
- Proven expertise in administrative and clerical functions such as schedule coordination, documentation, filing, and office logistics.
- Experience supporting senior executives—specifically in managing calendars, meetings, travel, and confidential information.
- Strong communication skills and professional telephone manner suited for interactions with internal teams and external stakeholders.
- Comfortable using office software including email, calendar tools, word processors, spreadsheets, and presentation applications, with adaptability to new technologies.
- Exceptional organizational skills with the ability to balance multiple priorities and meet deadlines independently.
- Sound judgment and discretion handling sensitive and executive-level information.
- Fluency in English required; French proficiency is advantageous due to the Montréal locale.
- Familiarity with science, healthcare, or startup environments and experience with hybrid work models are beneficial.
