Overview
We are partnering with a prominent global technology firm seeking a seasoned Executive Administrative Assistant to support business leaders and teams located in Singapore, specifically at Pasir Panjang. This opportunity requires a candidate who is highly organized, proactive, and experienced in managing executive-level support operations in a dynamic multinational setting.
Key Responsibilities
- Efficiently manage executive and team calendars, including scheduling, prioritizing, and resolving conflicts while coordinating meetings across multiple time zones.
- Prepare meeting agendas, presentations, and documentation; assist with note-taking and action item tracking as needed.
- Arrange domestic and international travel, ensuring all logistical and documentation needs are met.
- Process expense reports, invoices, purchase orders, and manage budget-related activities accurately.
- Provide daily administrative and operational support, including facilities coordination and office space planning.
- Organize and manage internal and external events such as team activities, workshops, and business programs, overseeing all logistical aspects including venues, vendors, and budgets.
- Enhance employee engagement and workplace culture by coordinating relevant initiatives.
- Develop and maintain strong relationships with internal stakeholders and external partners, managing communications and ensuring timely follow-up on tasks.
- Maintain utmost professionalism and confidentiality when handling sensitive business matters.
Candidate Profile
- At least four years of administrative experience within technology firms, multinational corporations, or similarly fast-paced environments.
- Experience supporting senior executives and business teams with calendar management, meeting coordination, travel, and expense processing.
- Excellent interpersonal and stakeholder management skills with strong written and verbal communication capabilities.
- Highly organized, detail-focused, capable of managing confidential information with sound judgment and discretion.
- Proficient multitasker able to prioritize competing demands independently and thrive in ambiguous, fast-evolving environments.
- Competent in coordinating business meetings, team activities, and company events.
- Self-driven yet collaborative, skilled in working across teams to support organizational priorities.
