Role Overview
The Documentation Executive position is a full-time, on-site job in Singapore. The key responsibility involves preparing, reviewing, and managing export documentation related to agricultural shipments. This role ensures that documents are accurate, complete, and compliant with international trade regulations.
Responsibilities
- Coordinate closely with internal teams such as operations, procurement, and trading as well as with external parties like logistics providers, inspection agencies, and buyers to facilitate documentation processes.
- Maintain an organized archive of documents and track shipment progress ensuring deadlines are met for cargo movement and payment processing.
- Identify and resolve discrepancies in shipment documentation.
- Continuously update and improve documentation procedures and support audit activities.
- Support data and document management enhancements.
Qualifications and Skills
- Strong knowledge of export documentation procedures and international trade and shipping requirements.
- Expertise in managing documentation and records accurately with proper compliance tracking.
- Effective written and verbal communication skills to liaise with diverse stakeholders.
- Experience in logistics, trade operations, or supply chain management within commodities or agricultural sectors is advantageous.
- Excellent attention to detail and organizational skills to manage multiple shipments and deadlines efficiently.
- Proficient with digital office tools such as spreadsheets, document management software, and email platforms.
- A diploma or degree in Business, Logistics, Supply Chain, or a related discipline is preferred; relevant experience can substitute formal education.
- Capability to work independently as well as cooperatively within a fast-paced, international environment.
