Job description
Overview
The Document Controller will be responsible for compiling, managing, and completing comprehensive project documentation related to customer orders, ensuring a complete history of document revisions. This role supports Project Engineering, Project Management, and Supply Chain functions by maintaining accurate and timely project documentation.
Key Responsibilities
- Assess documentation specifications and identify documents relevant to the order.
- Import and manage templates in the documentation management software, maintaining revisions according to established standards.
- Address and resolve complex punch list queries raised by third-party inspectors about documentation.
- Implement continuous improvement practices by identifying defective documentation and applying corrective and preventive measures.
- Maintain familiarity with the product range to ensure accurate documentation preparation.
- Challenge and support initiatives that promote best practices in documentation management.
- Gather essential information required for executing project documentation, including templates, language preferences, indexes, and hard copy needs.
- Coordinate translation needs and schedules aligned with order timelines.
- Engage continuously with customers and Project Engineers to manage submittals, returns, and amendments through the documentation system as per agreed schedules.
- Source and prepare material certifications for all certified products based on production traceability.
- Assist Project Managers with order documentation inquiries and provide supply updates as necessary.
- Collaborate with the shipping team to prepare and supply documentation packages.
- Participate in both customer and internal project meetings as required.
Qualifications and Experience
- Previous experience working within documentation teams.
- Familiarity with SAP ERP or comparable systems.
- Experience in a manufacturing, project-based environment or a similarly dynamic industrial setting.
- Strong communication skills with the ability to interact effectively across various levels of personnel and diverse audiences.
- High attention to detail complemented by solid analytical, critical thinking, problem-solving, and organizational capabilities.
- Proficiency in MS Word, Adobe Reader or Nitro Pro, and Excel.
- Ability to work cooperatively within a team environment and communicate well.
