Join the United States Olympic & Paralympic Committee (USOPC) team as a Concierge Coordinator and play a vital role in delivering an exceptional hospitality experience for VIP donor guests during the Games.

The USOPC is a nonprofit that relies on donors and sponsors rather than government funding to support Olympic and Paralympic athletes. The Concierge Coordinator supports the USOPC’s hospitality program by managing guest communications, coordinating itineraries, tracking service requests, and providing operational assistance to ensure smooth, personalized service.

Key Responsibilities

  • Assist in planning and executing personalized concierge services that deliver high-touch hospitality to VIP donors, dignitaries, and families throughout the Games.
  • Help implement service standards, protocols, and escalation procedures to maintain consistent concierge delivery across all touchpoints.
  • Manage daily concierge operations, including guest check-ins, updating itineraries, tracking requests, facilitating transportation, supporting event access, and quickly resolving guest experience challenges.
  • Maintain detailed guest profiles, preferences, and service documentation to ensure tailored and timely support.
  • Collaborate with multiple departments such as Development, hospitality operations, transportation, protocol, ticketing, venue operations, and security to coordinate seamless guest journeys.
  • Serve as a professional and discreet point of contact for guest inquiries and needs, applying cultural awareness and solution-focused responses.
  • Identify service gaps, anticipate guest needs, recognize operational risks, and escalate concerns when necessary to improve the donor experience.
  • Oversee concierge materials, inventories, and supplies, including coordinating purchasing and replenishment to support operations.
  • Prepare reports for leadership including operational updates, guest service summaries, and post-event evaluations.
  • Support registration, payment processing, invoicing, data accuracy, and CRM management related to donor hospitality services.
  • Exercise confidentiality and sound judgment when handling sensitive donor and organizational information.

Required Qualifications

  • Minimum of 2 years in hospitality, donor relations, guest services, event coordination, or operational roles for large events.
  • Proven experience delivering VIP-level service to donors, dignitaries, or high-profile guests with discretion and meticulous attention to detail.
  • Background supporting logistics and real-time operations across multiple venues or event segments.
  • Experience managing guest registrations, payment workflows, invoicing, and ensuring data accuracy via multiple systems.
  • Strong ability to provide personalized, culturally sensitive concierge support to high-profile guests.
  • Collaborative skills to coordinate effectively with vendors, volunteers, team members, and cross-functional partners to ensure service consistency.
  • Competence in identifying and calmly managing guest issues and operational challenges, escalating when appropriate.
  • Proficient at maintaining guest itineraries, preferences, and service records using centralized management tools such as Monday.com or equivalent.
  • Capability in managing inventory and procurement processes for program materials and supplies.
  • Excellent oral and written communication skills suitable for donor and VIP engagement as well as internal reporting.
  • Ability to clearly follow and support established operational procedures and service standards.

Working Conditions and Additional Information

  • This position is fully remote and part-time, scheduled for approximately 5 hours per week.
  • The role is temporary and non-exempt.
  • Hourly pay ranges from $46 to $50.
  • This role qualifies for the Annual Incentive Award Program with a 5% target, subject to change at the USOPC’s discretion.
  • Eligible for USOPC employee benefits.
