Role Overview
This position is a full-time, on-site Administrative Assistant role based in Greater Boston. The incumbent will support daily office operations and executive requirements by managing calendars, scheduling meetings, coordinating travel, and managing communications such as phone calls and emails professionally.
Key duties include organizing and maintaining files, preparing documents and reports, processing mail, assisting with data entry, and general recordkeeping. The role also entails supporting executives by performing administrative tasks, arranging logistics for meetings, and maintaining an organized and efficient office environment. Collaboration with colleagues across various departments is essential to support projects and ensure consistent, high-quality administrative assistance.
Qualifications
- Strong clerical and administrative skills for managing schedules, documentation, and office workflows effectively.
- Proficient in executive administrative assistance including calendar management, meeting coordination, and handling confidential assignments.
- Excellent communication abilities and phone etiquette to interact professionally with internal teams, clients, and vendors.
- Competent with standard office software such as word processing, spreadsheets, email, and calendar management tools, alongside basic data entry capabilities.
- Well-developed organizational skills, attention to detail, and the ability to prioritize various tasks in a dynamic environment.
- Ability to work on-site in Greater Boston, collaborate well within diverse teams, and uphold a professional appearance and demeanor.
- Previous experience in administrative or office support roles is preferred; post-secondary education in business, administration, or a related area is advantageous.
