Position Overview
The Academic Coordinator is a full-time role responsible for supporting the daily academic operations at the Royal Roads University Ras Al Khaimah campus. Reporting to the Program Manager or Academic Lead, the coordinator acts as a pivotal link among faculty, students, content developers, and quality assurance teams to ensure smooth academic processes and audit readiness.
Key Duties
- Develop and manage semester-wise academic timetables, allocate faculty, and schedule classrooms as per institutional policies.
- Coordinate the release of the Assessment Calendar each semester alongside Academic Management and Quality Assurance heads.
- Oversee daily academic activities, promptly reporting any issues to academic leadership.
- Track content development progress and ensure timely uploading of teaching materials onto the Canvas LMS.
- Facilitate the internal verification of assessments, handling related documentation and reports.
- Organise logistical arrangements for mid-term, semester, and final exams, including invigilation and seating planning.
- Support the Examination Board by preparing validated results and moderation documentation.
- Maintain up-to-date and accurate academic records within the Student Information System adhering to retention policies.
- Ensure student attendance records comply with UAE visa requirements through regular reconciliation.
- Compile academic reports for senior management each term.
- Assist in program reviews by gathering enrolment, progression, retention, and completion statistics.
- Communicate academic schedules and expectations effectively to both staff and students.
- Help newly appointed faculty navigate operational onboarding processes including LMS access and content standards.
- Serve as an initial contact for student academic inquiries that do not escalate to formal grievances; refer formal issues appropriately.
- Maintain comprehensive academic documentation supporting audit preparedness and internal quality assurance evaluations.
- Assist with external moderation activities by preparing necessary samples and documentation for the Canadian partner institution.
Qualifications and Experience
- A bachelor’s degree in Education, Business Administration, or a related field from an accredited institution is mandatory.
- Possession of UAE Ministry of Education attestation or equivalency for international credentials where applicable.
- A master’s degree in Education, Higher Education Administration, or related discipline is preferable.
- Certification in academic administration or quality assurance is advantageous.
- Between 3 to 5 years of relevant academic coordination or administration experience, preferably within higher education in the UAE or GCC region.
Technical Skills and Competencies
- Experience with Learning Management Systems such as Canvas and Student Information Systems.
- Proficient in Microsoft Office Suite and other academic IT tools.
- Strong organizational and multitasking skills with attention to detail and confidentiality.
- Effective written and spoken English communication.
- Team-oriented with ability to collaborate constructively with faculty, students, and management.
