Role Summary
The Talent Operations Specialist position involves managing the comprehensive employee lifecycle, emphasizing seamless onboarding, meticulous employee documentation, and in-depth talent reporting. The specialist will ensure new hires encounter an organized and professional integration process while assisting with the company’s performance management system administration.
Core Responsibilities
- Oversee complete onboarding workflows from offer acceptance through probation completion.
- Prepare schedules, welcome kits, necessary documentation, induction agendas, and internal company announcements.
- Collaborate with IT, Administration, and Finance to ensure access, equipment, and workspace readiness before new joiners' start date.
- Conduct or organize orientation sessions covering company policies, benefits, structure, and workplace expectations.
- Guarantee all employment documents, acknowledgements, and approvals are duly completed and archived.
- Arrange introductory meetings, departmental overviews, and critical training sessions.
- Track onboarding progress with regular check-ins and solicit feedback for process enhancements.
- Maintain onboarding records, checklists, and completion logs.
- Manage probation tracking, including review dates, notifications to managers, and documentation for confirmations, extensions, or terminations compliant with policy.
- Administer and coordinate performance review cycles—annual, mid-year, quarterly, and probationary—maintaining calendars, forms, and ensuring timely completion and accuracy.
- Monitor and document employee objectives, KPIs, and development plans while supporting performance improvement plans and calibration meetings.
- Maintain accurate employee records including milestones like promotions, transfers, and contract renewals, ensuring data consistency across systems.
- Coordinate offboarding procedures ensuring all clearances and documentation are completed.
- Support HR policies and processes, ensuring adherence, conducting audits, updating materials, and recommending improvements.
- Generate reports and dashboards on onboarding, probation, and performance metrics; address queries professionally while maintaining strict confidentiality.
Qualifications and Experience
- Bachelor’s degree in Human Resources, Business Administration, Management, or related field.
- 3 to 5 years of experience in HR or Talent Operations with focus on onboarding, probation management, and performance review procedures.
- Familiarity with HR records management, KPI tracking, and performance documentation.
- Excellent organizational skills with the capability to manage concurrent deadlines and attention to detail.
- Strong verbal and written communication skills for interaction with all organizational levels.
- High integrity and confidentiality when handling personnel information.
- Proficient in Microsoft Office suite and HR management systems.
- Knowledge of UAE employment regulations is advantageous.
Additional Information
This full-time role is based onsite in Dubai, UAE. The Talent Operations Specialist will engage closely with multiple departments including HR, IT, Finance, and Administration to maintain effective talent operations and compliance.
