Role Overview
The Supply Chain Specialist role entails overseeing the entire procurement and supply chain for ship spare parts and marine services, following UOS's procurement protocols. The position is hybrid, combining remote work with in-office presence at either Leer, Germany or Aberdeen, UK. The specialist manages sourcing activities, purchase orders, and global logistics to ensure timely materials delivery, collaborating with internal stakeholders, vendors, and service providers to support vessel operations effectively.
Key Responsibilities
- Adhere strictly to UOS procurement procedures and the company Code of Conduct.
- Efficiently manage procurement activities within the BASSnet system while meeting performance KPIs.
- Identify and manage approved and potential suppliers as per UOS standards.
- Issue Requests for Quotations (RFQs), conduct commercial negotiations, recommend suppliers, and finalize purchase orders.
- Negotiate optimal freight and customs clearance rates to ensure favorable commercial terms and manage associated risks.
- Maintain ongoing communication and relationships with vendors, including documented meetings and site visits.
- Collaborate with marine and quality teams ensuring product compliance throughout procurement stages.
- Support various internal clients such as vessel teams, offshore crews, operations, and project groups in supply chain activities.
- Communicate progress on requisitions with vessel managers, ship captains, and chief engineers.
- Proactively expedite purchase orders with third-party vendors to meet delivery schedules.
- Coordinate with port and customs agents as well as third-party logistics for material receipt, consolidation, and shipment globally.
- Ensure freight forwarding and material handling are conducted efficiently, compliantly, and commercially favorably.
- Process third-party invoices promptly according to agreed payment terms.
- Identify procurement process discrepancies, assess risks, and recommend mitigation measures.
- Maintain accurate records and update company systems regularly.
Qualifications & Experience
- Degree in supply chain management, commerce, or relevant experience considered.
- 1-2 years of related experience within an international shipping company preferred.
- Familiarity with shipping or energy sector supply chains.
- Competent in price, quality, and contract negotiation with suppliers and service providers.
- Strong team player with excellent organizational and communication capabilities.
- High numerical proficiency and ability to meet strict deadlines.
- Ability to work autonomously and take initiative.
- Experience using purchasing or supply chain management software.
- Fluent English required; German language skills are a significant advantage.
