Job purpose
This position is focused on helping deliver assigned special projects efficiently and to a high standard. The specialist will keep daily activities moving, track progress, maintain clear records, coordinate with internal teams and external stakeholders, and help ensure that work is completed within approved timelines, budgets, and quality expectations. The role also requires adherence to SOPC policies and governance requirements, prompt handling of operational issues, and active support for continuous improvement efforts that contribute to SOPC’s strategic priorities.
Project execution
- Carry out assigned project tasks carefully so that each deliverable is completed on time, within budget, and to the required quality level, following project plans and direction from the Director or project leads.
- Support the day-to-day delivery of project activities and make sure individual assignments are completed as directed by the Director or project leads.
- Track operational issues as they arise, work with the relevant people to implement quick fixes, and help keep projects moving without unnecessary disruption.
Cross-functional collaboration and stakeholder coordination
- Take an active role in coordinating work across teams so tasks are completed smoothly and aligned with project needs.
- Stay in regular contact with internal and external stakeholders, share progress updates as instructed, and gather their feedback to keep everyone aligned.
- Develop constructive working relationships with stakeholders by maintaining a cooperative and supportive approach, especially where approvals or external inputs are required.
Performance execution and reporting
- Work to execution plans and KPIs so that every assigned task contributes to project milestones and overall delivery.
- Collect, organize, and keep project data and records up to date, then prepare clear and accurate updates for the Director or project lead to support decision-making.
- Flag any issues found during task execution and offer practical suggestions for resolving them so project momentum is maintained.
Operational tasks and resource utilization
- Handle operational activities such as resource allocation, procurement coordination, and budget tracking according to project requirements.
- Use available resources effectively and address small shortages or inefficiencies by coordinating with the right teams to find workable solutions.
- Anticipate basic operational needs and suggest simple adjustments that can improve resource use or task efficiency.
Compliance, documentation, and governance
- Ensure all project work is performed in line with SOPC internal policies, guidelines, and applicable regulatory requirements.
- Keep detailed and accurate documentation of tasks, workflows, and decisions so information remains transparent and easy to access.
- Support governance activities by preparing and submitting documents for approval in line with quality and accountability standards.
Continuous improvement and execution efficiency
- Look for small opportunities to improve task efficiency and suggest ways to streamline project workflows.
- Apply lessons learned from completed tasks to improve the quality and efficiency of future execution.
- Use innovative tools, methods, or approaches when directed to help deliver special projects successfully.
Problem-solving and risk mitigation
- Address operational risks and issues early, using approved corrective actions to reduce disruption to project timelines and objectives.
- Work with team members to understand the root cause of execution challenges and apply practical solutions that help prevent repeat issues.
- Escalate major concerns to the Director or project lead with clear documentation and recommended next steps.
Support for strategic priorities and organizational goals
- Complete project-related tasks that directly support SOPC’s strategic priorities and broader organizational goals.
- Assist with the operational aspects of special projects so the Special Projects function can deliver efficiently.
- Share observations from execution work to help improve workflows and keep projects aligned with organizational priorities.
