Position Overview
Diligent is looking for a Senior HR Operations Analyst to lead the management, compliance, and continuous enhancement of the company's leave of absence programs. This role prioritizes HR compliance, operational excellence, and administrative support, ensuring alignment with all relevant labor laws, regulations, and internal guidelines. The analyst will collaborate closely with HR leadership and other departments to refine processes, improve HR systems, strengthen controls, and back key HR initiatives related to leave administration.
Key Responsibilities
- Oversee the full administration, improvement, and upkeep of employee leave of absence programs.
- Regularly review and update HR policies and procedures to guarantee legal compliance and alignment with organizational goals.
- Manage end-to-end leave cases, including initial intake, eligibility assessment, documentation, approval processes, extensions, and return-to-work coordination, acting as the main contact for employees and managers.
- Keep up-to-date with changes in labor legislation and provide strategic recommendations for HR policies, procedures, and internal controls.
- Assist in regulatory reporting obligations and internal HR data requests, maintaining accurate, confidential, and audit-ready leave documentation using Workday HRIS.
- Support HR vendor contract management, billing, and collaboration with Procurement and Accounts Payable teams to ensure process efficiency and accuracy.
- Perform ongoing audits of HR processes, records, and practices to identify risks, ensure compliance, and suggest corrective measures.
- Provide operational and administrative assistance to HR leadership, including report generation, communications development, and initiative coordination with minimal supervision.
- Collaborate with other departments to optimize HR workflows, enhance documentation quality, and improve system effectiveness. Partner with Payroll to guarantee correct pay treatment for employees on leave, covering statutory payments, top-ups, benefit offsets, and adjustments.
- Lead or contribute to special HR projects and assignments as needed.
Required Experience and Skills
- Between 5 to 7 years’ experience in HR operations, leave of absence administration, or related functions involving significant leave case management.
- Deep understanding of HR procedures, compliance standards, and employment policies, especially Irish employment and statutory leave laws, with hands-on experience administering Irish statutory leaves.
- Exceptional attention to detail, strong organizational capabilities, analytical thinking, and problem-solving skills.
- Trustworthy with discretion and sound judgment when managing confidential medical and sensitive personal data.
- Proficiency in Microsoft Office applications (Word, Excel, Outlook) and familiarity with HR systems and reporting tools.
- Excellent written and oral communication abilities, able to clearly and empathetically communicate complex leave entitlements to employees and managers.
- Effective independent worker with good judgment and ability to build productive relationships across teams.
