Quote Specialist

About the Role

Join a dynamic team driving innovation in critical sectors like energy, food, water, and shipping. As a Quote Specialist at Alfa Laval, you will be instrumental in crafting precise cost quotations for service and parts orders, facilitating smooth coordination among teams to support our service business. This role operates on a hybrid basis with locations in Greenwood IN, Houston TX, Warrington PA, and Richmond VA.

Key Responsibilities

• Create and quality-assure cost quotations by applying standardized labor rates, shipping fees, parts prices, and service protocols.
• Liaise with Field Service Coordinators, Service Center Coordinators, and Distribution Centers to confirm accurate input of labor, materials, and logistics details.
• Verify technician requirements, service sites, and scheduling details for field and service center tasks.
• Coordinate with ATS and AMDC teams to validate any non-standard or replacement parts before finalizing quotes.
• Ensure quotations comply with Credit and Trade Compliance regulations prior to release.
• Confirm detailed scope elements such as site needs, technician expertise levels, expected service durations, and parts availability.
• Secure internal approvals and review customer portal information as needed.
• Transfer finalized cost quotes to Sales or Representatives for ultimate pricing and negotiation stages.
• Maintain comprehensive revision records, supporting files, and audit trails across multiple internal systems including OneCRM, One4AL, OneService, and ServiceNow.
• Assist in margin analysis by identifying recurring cost deviations or incomplete scope details to inform process improvements.

Candidate Profile

• Associate’s degree in Business Administration or a related field is required; a bachelor’s degree is preferred.
• At least two years of experience in quoting, estimating, or coordinating services within operations or technical sectors.
• Proven capability in managing detailed documentation, verifying costing components, and following formal approval workflows.
• Familiarity with ERP or CRM software such as OneCRM, One4AL, OneService, ServiceNow, or equivalents.
• Strong analytical, interpersonal, and coordination skills, working effectively with multiple departments including Sales, Service Centers, Field Service, and Distribution Centers.
• Ability to maintain both accuracy and efficiency under pressure, handling a high volume of quotations effectively.
