Role Overview
This full-time Administrative Coordinator role is based at Silentec's fabrication and laboratory facility in Montreal, QC. Reporting under moderate supervision and collaborating closely with fabrication-installation supervisors, project managers, and designers, the coordinator will engage directly with customers, subcontractors, and suppliers to ensure projects are completed efficiently and successfully while nurturing a positive organizational culture.
Key Duties
- Manage everyday administrative functions including monitoring project timelines and budgets.
- Organize shipping and receiving processes and handle purchasing activities.
- Schedule and coordinate meetings, as well as prepare and maintain essential documents such as invoices and inspection or test reports.
- Support customer service efforts and assist with quotations.
Qualifications
- Strong communication skills coupled with the ability to multitask and provide excellent customer service when interacting with clients and colleagues.
- Comfort and proficiency with MS Project, MS Office suite, email, calendar management, and basic spreadsheet tools.
- Detail-oriented with strong organizational abilities for prioritizing tasks and managing time effectively.
- Experience in administrative or coordination roles within a technical or industrial setting, preferably steel fabrication or service-based environments.
- Ability to work independently and collaboratively in both French and English; Spanish language skills are a plus.
- Post-secondary education in administration, business, or similar fields, or equivalent practical experience is required.
