About the Role
We are seeking a Pre-employment Coordinator based in the United States to provide comprehensive support throughout the candidate onboarding and pre-employment journey. This position plays a pivotal role in delivering a smooth, professional, and compliant candidate experience, overseeing all necessary steps prior to employment. You will work closely with teams from Talent Acquisition, Human Resources, Security, and operations to ensure seamless workflow management, accurate documentation, and timely system updates. This role suits individuals who thrive on organization, problem-solving, and excellent customer service within a dynamic, remote environment. It offers a valuable opportunity to develop expertise in recruiting operations and human resource coordination at the enterprise level.
Key Responsibilities
- Oversee and process all candidate pre-employment steps including background verifications, drug tests, security clearance arrangements, new hire notifications, and completion of mandatory paperwork.
- Keep meticulous and up-to-date candidate records, monitoring progress within applicant tracking and security systems.
- Coordinate effectively with Talent Acquisition, HR, Security, and operations teams to ensure all onboarding prerequisites are fulfilled promptly.
- Handle a substantial volume of candidate and new hire activities, ensuring compliance with service-level agreements.
- Adhere strictly to prescribed workflows, policies, and regulatory standards to maintain uniformity and compliance in processing.
- Accurately document all actions, updates, and results across multiple platforms with high attention to detail.
- Provide clear, timely communication and guidance to candidates throughout the onboarding process.
- Maintain confidentiality and secure handling of sensitive candidate and employment data.
- Offer support for Talent Acquisition and security-related initiatives as needed.
- Identify opportunities for operational improvements and proactively resolve issues to boost efficiency.
Candidate Requirements
- 0 to 1 year plus experience in recruitment coordination, HR support, customer service, administrative roles, or related fields.
- High school diploma or equivalent required; bachelor’s degree is preferred but not mandatory.
- Prior familiarity with applicant tracking systems or HR platforms is advantageous.
- Must hold U.S. citizenship.
- A strong customer-oriented attitude marked by professionalism, patience, transparency, and helpfulness.
- Exceptional attention to detail with the capability to juggle multiple priorities at once.
- Excellent written and verbal communication proficiency in English.
- Ability to follow defined procedures while exercising good judgment and problem-solving skills.
- Comfort with handling confidential and sensitive information securely.
- Proficient in Microsoft Office Suite including Outlook, Excel, and Teams; experience with SharePoint is a plus.
- Self-motivated, organized, and productive while working independently with minimal oversight.
- Strong teamwork and relationship-building skills within internal departments.
