About the Role and Organization

An established and expanding physician-led allergy and immunology practice operating multiple sites in the Dallas–Fort Worth region seeks a highly organized Practice Manager. This healthcare entity delivers expert care to both children and adults, emphasizing high-quality, patient-centered services in a collaborative clinical setting.

Position Summary

The Practice Manager will handle daily management of clinic operations across several locations, including leadership of staff, optimization of workflows, supervision of patient experience, and revenue cycle oversight. This role requires close collaboration with physicians, clinical personnel, front office teams, billing staff, and leadership to ensure operational excellence, compliance, and organizational achievements.

Key Responsibilities

  • Lead and support front office and clinical staff across multiple sites.
  • Manage hiring, onboarding, training, scheduling, coaching, and performance evaluations.
  • Create and maintain a collaborative, patient-focused, and accountable workplace culture.
  • Ensure staff productivity, professionalism, and adherence to operational policies.
  • Address operational issues and assist with conflict resolution.
  • Oversee daily office operations to ensure efficient clinic workflows across all locations.
  • Maintain effective patient scheduling and flow as well as overall office productivity.
  • Monitor and enhance patient satisfaction and quality of service.
  • Develop and implement improvements to operational workflows for efficiency gains.
  • Manage office systems, medical supplies, equipment, and facility operations.
  • Ensure compliance with HIPAA, OSHA, and related internal policies.
  • Coordinate effective communication between providers, clinical staff, front office, billing, and administration.
  • Oversee revenue cycle management processes including insurance verification, authorizations, charge capture, claims processing, denial management, and collections.
  • Collaborate with billing teams and third-party vendors to resolve claim issues, denial trends, and aging accounts receivable challenges.
  • Regularly review operational and financial reports to identify improvement areas and support corresponding corrective actions.
  • Maintain accountability for operational and financial performance indicators tied to revenue cycle activities.
  • Assist with budgeting, expense oversight, and operational reporting.
  • Support staffing efficiency and consistency across all locations.
  • Contribute to organizational growth via process improvements and operational leadership.
  • Participate in strategic planning and operational development projects as needed.

Required Qualifications

  • Previous experience in medical practice management or healthcare operations is essential.
  • Experience managing multi-site medical offices is highly preferred.
  • Strong background in revenue cycle management, including billing workflows, insurance procedures, denial handling, and accounts receivable management.
  • Proven leadership, organizational, and problem-solving capabilities.
  • Ability to juggle multiple priorities and meet deadlines in a dynamic healthcare environment.
  • Excellent communication and interpersonal skills.
  • Familiarity with EMR systems and practice management software is a plus.
