Role Overview

The People Operations Coordinator role supports full-cycle recruitment functions and fundamental People Operations activities. Responsibilities include managing applicant tracking, coordinating interviews, ensuring a seamless candidate experience, supporting onboarding processes, maintaining HRIS data, and handling general employee lifecycle administration. This position offers a strong foundation for individuals seeking to develop broad People Operations expertise, emphasizing ownership, agility, and collaboration.

Key Responsibilities

• Assist recruitment initiatives by scheduling interviews, coordinating candidate travel, booking conference spaces, and preparing job offer letters.
• Deliver an outstanding experience for candidates throughout the recruitment process.
• Ensure accuracy and integrity of data within Applicant Tracking Systems and HR systems, including generating reports as needed.
• Manage job postings on the company website and external job boards.
• Coordinate recruiting campaigns across multiple channels including email and social media.
• Administer background check procedures.
• Support new hire onboarding by organizing account setups, managing first-day logistics, and facilitating onboarding paperwork.
• Maintain detailed employee records in HRIS, tracking updates such as status changes and organizational chart revisions.
• Act as the initial contact for routine employee queries, escalating issues when necessary.
• Contribute to compliance efforts related to ISO 27001 and SOC-2 standards, including participating in audits.

Minimum Requirements

• Bachelor's or Master’s degree or equivalent relevant experience.
• Between zero to one year of related experience; internships, co-op roles, or campus recruitment involvement are valued.
• A natural curiosity for AI tools with a proactive approach to utilizing technology to improve efficiency.
• Resourcefulness in problem-solving and independently navigating obstacles.
• Excellent attention to detail combined with strong organization skills to manage multiple priorities.
• Proficiency in Google Workspace; knowledge of Applicant Tracking Systems (Greenhouse preferred) is advantageous but not essential.
• Effective written and verbal communication capabilities.
• Demonstrated ability to manage confidential information with discretion and sound judgment.
• A history of going beyond basic requirements driven by personal curiosity.
• Comfortable identifying and addressing issues upfront to avoid complications.
• Commitment to knowledge sharing as an integral part of work responsibilities.

Compensation and Location

This full-time position is based in Conviva’s Foster City, California office. The expected compensation ranges between 30 and 35 US dollars per hour, with exact pay determined by factors including qualifications, experience, and educational background.
