Role Overview
The Patient Care Coordinator (Surgery Scheduler) role is a full-time, onsite position based in the San Francisco Bay Area. This role involves managing surgical appointment scheduling, coordinating pre- and post-surgery visits, and ensuring patients receive clear, accurate information about procedures, instructions, and timelines. The coordinator will handle patient communications via phone and messages, guiding patients empathetically through every stage of their treatment. Responsibilities also include verifying and updating patient data, collaborating with clinical and administrative teams, organizing patient documentation, and facilitating a seamless and safe patient journey from consultation to recovery. The position requires keen organizational skills, attention to detail, and a strong patient service focus in a dynamic medical environment.
Key Responsibilities
- Lead consultations by assisting patients through surgical options, answering clinical questions, and converting inquiries into confirmed treatment plans.
- Manage new patient leads using Leadloop, ensuring prompt follow-ups.
- Communicate procedure pricing, present financing alternatives, collect deposits, and promote patient reviews.
- Act as the primary contact between the practice and external surgery centers for scheduling and logistical arrangements.
- Coordinate all pre-operative requirements such as medical clearances, lab testing, and consent documentation.
- Optimize scheduling for physician appointments and surgical procedures to maximize efficiency.
- Provide clinical support during consultations and office procedures.
- Capture and maintain clinical photography, ensuring confidentiality and HIPAA compliance.
- Monitor and report metrics including KPIs, conversion rates, and revenue to leadership.
- Audit operational workflows for compliance and efficient practice management.
Qualifications
- Minimum five years progressive experience in plastic surgery, facial plastics, or upscale aesthetic clinical settings.
- Bachelor’s degree preferred.
- Technical proficiency with Nextech, Mirror, Leadloop, and Microsoft Office 365 preferred.
- Excellent communication and sales skills paired with strong clinical assistance capabilities and meticulous organizational aptitude.
Compensation and Benefits
- Starting salary from $73,000, with exact pay depending on experience, clinical skills, and technical knowledge.
