Role Summary
This position serves as the principal’s right hand and the initial point of contact for clients. It blends executive support, operations coordination, and front-desk coverage. The goal is to keep the office running efficiently, safeguard the principal’s time, and make every client interaction feel polished and attentive.

Core Responsibilities
Executive support
- Oversee the calendar, book client meetings, and arrange calls and travel.
- Assemble meeting packets, reports, and post-meeting summaries.
- Sort incoming emails, voicemail messages, and requests so the principal only sees the most important items.
Client service and operations
- Serve as the main contact for routine client needs such as documents, updates, and scheduling.
- Prepare and submit forms, paperwork, and custodian-related requests, including account openings, transfers, and money movements.
- Keep the CRM updated with accurate notes, tasks, and client information.
- Support compliance administration, including file management, signature collection, and documentation tracking.
Front desk and office administration
- Welcome clients and visitors, and answer and direct incoming phone calls.
- Handle mail, office supplies, and day-to-day workspace organization.
- Coordinate with vendors and service providers when needed.
Requirements
- At least 2 years of experience in administration, client service, operations, or executive support within a professional office environment such as finance, legal, accounting, medical, or a comparable field.
- Strong organizational habits, a sharp eye for detail, and dependable follow-through.
- Excellent written and spoken communication, with a professional manner suited to high-net-worth clients.
- Ability to learn financial systems quickly and manage sensitive information carefully and discreetly.
- Prior experience in wealth management, RIA, or financial services is advantageous but not mandatory.
