The work involves collecting screening requests, checking that they align with position requirements in Workday, guiding individuals through the process, and keeping all parties updated until completion.

Key responsibilities

  • Receive screening requests through the FedScreen system from client banks and confirm that each request matches the required position details in Workday.
  • Coordinate background screening steps with new hires, contingent workers, and current employees, including scheduling, initiation, and follow-up.
  • Explain the purpose of the screening, the process, expected timing, and the individual’s responsibilities in a clear and professional way.
  • Launch screening requests with the individual and the relevant vendors, then monitor progress to keep the process on schedule.
  • Follow up with individuals when needed and escalate issues to the FRB district if required.
  • Track vendor progress and escalate delays or issues to the FedScreen Coordinator when necessary.
  • Review screening outcomes promptly and contact individuals by email or phone when any part of the screening cannot be verified.
  • Keep thorough records of all communication, including email correspondence with individuals.
  • Enter screening information into the Summary Report and store reports and supporting documents in the designated database.
  • Prepare the Summary Report and Treasury Suitability Worksheet when applicable.
  • Inform the district Adjudicator when screening results are ready for review.
  • After successful adjudication, coordinate start or transfer dates with the new hire and hiring manager.
  • For current employees, notify the employee and their supervisor when the rescreening process is completed successfully.
  • For new hires, update the start date and finish the hiring process in Workday.
  • Update screening records in Workday for all individuals with results and completion dates.

Education and experience

  • A bachelor’s degree is preferred, though a suitable mix of education and relevant experience may be accepted.
  • At least 1 year of experience in Human Resources is strongly preferred.
  • Prior experience handling background screenings is highly desirable.

Knowledge and skills

  • Strong written and verbal communication skills for interacting with hires, employees, bank leadership, vendors, and internal colleagues.
  • Excellent interpersonal ability to work with people at all management and staff levels.
  • Comfort handling sensitive personal information in a strict confidential setting.
  • Working understanding of employment laws and HR best practices.
  • Prior personnel screening experience is highly desirable.
  • Exposure to process or policy review and continuous improvement is preferred.
  • Ability to manage a high-volume workload professionally.
  • Strong customer service and active listening skills.
  • Excellent organization, analysis, and attention to detail.
  • Solid PC skills, including Applicant Tracking Systems, HRIS platforms, Microsoft Word, and Excel; Workday knowledge is strongly preferred.
