Job description
Role Overview
We have an exciting full-time, permanent position located in Tauranga for an Executive Assistant to provide comprehensive secretarial and administrative support to the Chief Financial Officer (CFO) and Chief People Officer (CPO). This role demands a high level of discretion due to the sensitive and confidential nature of the work. Support may occasionally extend to other Head Office departments and general office duties.
Primary Duties
- Managing calendars and emails, organizing both internal and external meetings.
- Adapting proactively to shifting priorities and tight deadlines.
- Coordinating meetings, preparing agendas, writing minutes, and monitoring follow-up tasks.
- Assisting with board-level documents and executive presentations, including drafting reports and presentations on behalf of the CFO and CPO.
- Maintaining employee shareholder records and processing share transactions.
- Contributing regularly to the company intranet.
- Handling expense claims, accounts, and invoicing.
- Performing other administrative tasks as requested by the CFO and CPO.
Candidate Profile
- Experience in a similar executive support role, preferably within financial services.
- Strong organizational aptitude with excellent written and verbal communication skills along with a keen eye for detail.
- Proficient with Microsoft Word, Excel, Outlook, PowerPoint, and SharePoint.
- Displays initiative, confidence, professionalism, and a customer-focused attitude.
- Exhibits discretion and sound judgment when managing confidential info and documents.
- Flexible and proactive in a fast-paced setting, able to juggle competing demands and meet strict deadlines.
