Position Summary
This entry-level administrative position supports the organization's operations by providing critical assistance across various departments. Responsibilities include coordinating schedules, managing documents, facilitating internal communication, organizing meetings, maintaining records, and helping refine administrative procedures to ensure efficient business operations.
Core Duties
- Deliver daily administrative support to managers and multifunctional teams.
- Create, edit, and organize business documents, reports, presentations, and spreadsheets.
- Maintain up-to-date digital filing and archives, safeguarding confidentiality.
- Manage shared inboxes and redirect requests suitably.
- Input and maintain data across internal systems.
- Coordinate workflows and support operational task tracking and project progress.
- Assist in preparing operational reports using established templates.
- Monitor task status and follow up on pending items.
- Support new hire onboarding and maintain SOPs and internal documentation.
- Arrange meetings across time zones, distribute invites and reminders, and prepare agendas and materials.
- Document meeting notes and disseminate action points.
- Help coordinate virtual events and team sessions.
- Draft professional communications such as emails and internal announcements.
- Liaise across departments to enable smooth communication and respond promptly to routine queries.
- Maintain digital office systems and monitor supplies and vendor records.
- Assist with travel arrangements and expense reporting when necessary.
- Update internal databases and prepare regular administrative reports.
- Conduct quality assurance checks on documentation for accuracy.
- Identify and suggest improvements in administrative processes and participate in operational enhancement projects.
- Support implementation of new administrative systems and procedures.
Qualifications
- Minimum education: high school diploma; preference given to Associate's or Bachelor's degree in Business Administration, Management, Communications, or related disciplines.
- Experience ranging from none up to two years in administration, office support, customer service, or similar roles.
- Exceptional organization and multitasking skills.
- Proficient communication abilities in English, both written and verbal.
- High level of accuracy and attention to detail.
- Capability to prioritize tasks and meet deadlines independently in a remote setting.
- Professional, personable demeanor.
- Willingness to acquire new skills and adapt to evolving administrative technologies.
Preferred Background
- Prior internships or administrative support experience.
- Experience working remotely or collaboratively in virtual teams.
- Familiarity with coordinating projects.
- Knowledge of standard business communication practices.
- Arabic language skills are advantageous.
Technical Proficiencies
- Familiar with Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook.
- Experience using Google Workspace tools such as Docs, Sheets, Slides, Drive, and Calendar.
- Competency with video conferencing software like Zoom, Microsoft Teams, or Google Meet.
- Knowledge of collaboration tools such as Slack or equivalents.
- Experience with task management platforms including Asana, Trello, ClickUp, or Monday.com.
- Understanding of cloud-based document management solutions.
