Role Summary
The Business Operations Coordinator is tasked with overseeing the monitoring, control, and management of business functions to meet customer expectations and align with company objectives. This is a fully remote position, with specific location and expectations to be clarified during the hiring process.
Key Responsibilities
- Ensure safety remains the top priority by encouraging employees to adhere to safe work practices.
- Support Service Managers in daily business operations management and coordination.
- Oversee operational activities to satisfy client requirements and corporate goals.
- Maintain communication between customers and management to facilitate uninterrupted service delivery.
- Organize and supervise project tasks, ensuring delivery within budget and schedule constraints.
- Guarantee compliance with company policies and standards.
- Establish and nurture strong relationships with customers through routine engagement.
- Lead internal project meetings and produce accurate meeting minutes.
- Arrange and engage in external project meetings while documenting discussions.
- Manage and resolve multiple high-priority project issues efficiently.
- Analyze operational performance and recommend strategic enhancements.
- Guide internal teams to meet targeted performance standards.
- Detect and promptly address issues in operational processes.
- Adhere to and promote standard operating procedures for optimized business activities.
- Maintain well-organized and accurate operational documentation and procedures.
- Perform all critical administrative responsibilities.
- Establish and manage comprehensive project filing systems.
- Code vendor invoices correctly and verify accuracy.
- Prepare and document additional work orders as necessary.
- Communicate changes and updates to subcontractors effectively and follow up on orders.
- Draft subcontracts and purchase orders.
- Assist in monthly job profitability reviews alongside Service Managers, collaborating with internal teams to achieve targets.
- Track and assess CMMS work orders for completeness and approve or reject invoices accordingly.
- Create invoices for Project Manager approval before submission to clients.
- Evaluate and propose process improvements, support adoption of new technologies, and collaborate with management on implementation.
- Promote diversity and inclusion as an integral part of company culture.

- Timely and accurate processing of extra work orders, purchase orders, subcontracts, and tracking status.

Requirements
- A minimum of two years' experience handling contracts and change order management.
- Possession of a High School Diploma or GED.
- Basic proficiency with ERP systems.
- Demonstrated ability to exercise independent judgment and self-initiate tasks.
- Ability to encourage cooperative teamwork among diverse groups.
- Experience in diverse, multi-disciplinary, employee-owned organizational environments preferred.
- Strong verbal and written communication skills to clearly lay out plans and visions.

Compensation
The salary range offered for this position lies between $60,632 and $75,732.80 per year.
