Position Summary
The Bookkeeping and Administrative Manager will be responsible for accurate financial management and the oversight of various administrative operations within MAP Medical's medical distribution business. While the role demands consistent presence at the Chicagoland office/warehouse, it includes options for remote work flexibility.
Key Responsibilities
- Keep financial records current and precise using Odoo ERP software.
- Oversee accounts payable and receivable processes, including invoice management and conducting weekly ACH, wire, and credit card payment runs.
- Maintain relationships with accounting teams of vendors and customers.
- Conduct reconciliations of bank, general ledger, accounts receivable, and payable accounts on a scheduled basis, investigating discrepancies thoroughly.
- Handle payroll processing and related financial entries.
- Deliver financial data and reports to leadership to support operational decision-making and planning.
- Assist with closing procedures at month-end and year-end.
- Liaise with external CPA or tax professionals as required.
- Track and classify expenses with well-organized supporting documents.
- Administer company subscriptions and vendor services.
- Act as the main contact for facilities, IT, and service providers.
- Manage organizational filing systems digitally and physically via MS One Drive.
- Support the onboarding process for new hires, including workspace setup and administrative introductions.
- Coordinate incoming mail, deliveries, and office logistics.
- Perform general administrative responsibilities and special projects as needed.
Required Qualifications
- Three to five years of experience in bookkeeping, accounting, or treasury functions covering ledger management, reconciliations, and GAAP compliance.
- Proficient in accounting software (QuickBooks or similar), Microsoft Excel, and cloud collaboration tools; familiarity with Odoo ERP is advantageous.
- Strong administrative capabilities including document handling, accurate data entry, schedule management, and workflow organization.
- Effective verbal and written communication skills suitable for interaction with teams, vendors, and clients remotely.
- Ability to prioritize workload, meet deadlines independently, and uphold confidentiality.
- Experience within medical supplies distribution or a small/startup business environment is preferable.
- Associate or bachelor's degree in Accounting, Finance, Business Administration, or comparable practical experience.

Compensation and Benefits
- Annual salary ranging from $60,000 to $70,000 based on experience.
