Role Overview
The Accounts Payable Coordinator position involves managing payment processes for the company with accuracy and timeliness, nurturing positive vendor relations, and ensuring adherence to internal controls and accounting guidelines. This role supports the Accounts Payable management team by handling invoice processing, troubleshooting discrepancies, and assisting with month-end closing and relevant projects.
Key Responsibilities
- Process invoices by reviewing for accuracy, approvals, and proper coding, ensuring compliance with company policies and accounting standards.
- Enter invoices into systems including Coupa and NetSuite promptly and accurately.
- Maintain vendor records, such as W-9 forms, payment terms, and contact information, keeping these up-to-date.
- Handle vendor inquiries professionally and respond regarding payment and invoice status.
- Reconcile vendor statements by investigating and resolving any discrepancies.
- Adhere to established internal controls, document processes for audits, and assist as needed with internal and external audit activities.
- Organize and maintain electronic records according to company retention policies.
- Work collaboratively across departments to resolve invoice and payment concerns.
- Complete additional tasks as assigned by the Accounts Payable Manager or Team Lead.
Performance Expectations
- Ensure all invoices are processed accurately and promptly.
- Resolve discrepancies and vendor inquiries swiftly.
- Follow all company policies and compliance procedures diligently.
- Communicate professionally and cooperatively with internal teams and external partners.
- Uphold Clarest's Code of Conduct, comply with compliance standards, and report any suspected legal or regulatory violations appropriately.
Required Qualifications
- High school diploma or GED is mandatory.
- Associate degree in Accounting, Finance, or a related discipline is preferred.
- Equivalent experience combined with education may be considered.
Skills and Experience
- Proficient understanding of Accounts Payable procedures.
- Competent in Microsoft Excel, Word, and Outlook.
- Experience with NetSuite is preferred but not essential.
- Familiarity with Coupa is favorable but not required.

Schedule and Compensation
This full-time role operates remotely within the United States. Working hours are Monday through Friday, from 9 AM to 5:30 PM Eastern Standard Time. The hourly wage range is $23 to $26.
