Overview
The Senior Executive Assistant provides comprehensive administrative support primarily to a C16-level manager and broadly to the entire department. Key duties include managing correspondence, scheduling, coordinating conferences, travel arrangement, and other administrative responsibilities.
Key Responsibilities
- Provide direct assistance to a senior executive (C16 level) and general support to the department.
- Oversee daily calendars of senior leadership, ensuring smooth scheduling.
- Organize and manage all aspects of executive appointments, meetings, receptions, and conference calls.
- Prepare and review meeting materials and correspondence when required.
- Assist in creating and editing presentations, spreadsheets, and various documents.
- Arrange travel plans and distribute corresponding schedules and agendas.
- Prepare, reconcile, and monitor expense reports using the Travel and Entertainment Expense system.
- Handle supply orders and invoice processing through the Procure to Pay system.
- Manage Virtual Requests including processing and follow-up activities.
- Contribute to ad-hoc reports and special projects as assigned.
- Provide training, coaching, or guidance to fellow administrative staff as needed.
- Exercise prudent risk assessment during business decisions, ensuring compliance with laws, policies, and ethical standards while protecting the company's reputation and assets.
Qualifications
- Prior experience in office administration, ideally in a complex financial services environment or comparable organization.
- Advanced proficiency in Microsoft Office suite.
- Exceptional written and verbal communication skills, with clarity and conciseness.
- Quick adoption and mastery of new systems and tools.
- Highly self-driven with keen attention to detail.
Education
- Bachelor’s degree or university equivalent experience.
