Role Overview
As a Remote File Clerk, your main responsibility will be to ensure the accuracy, organization, and compliance of both digital and scanned records. You will assist several teams by receiving documents, verifying completeness, applying established naming standards, categorizing files into the correct locations, and maintaining a detailed, audit-ready log of document receipt, processing dates, and storage locations. This role operates in a fast-paced environment where precision and confidentiality are paramount.
Key Responsibilities
- Manage incoming files from shared email inboxes, portals, internal helpdesk systems, and cloud storage.
- Verify document types and check for essential components such as required fields, signatures, and attachments.
- Assign standard metadata like client or project identifiers, dates, document types, version numbers, and geographical region for indexing.
- Apply uniform naming conventions and organize files within predefined folder structures.
- Modify file formats when necessary, including tasks like merging or splitting PDFs, converting images to PDFs, compressing files, and labeling versions.
- Maintain organized libraries distinguishing final, draft, and archived versions along with retention tagging.
- Conduct daily quality checks to identify duplicates, incorrect filing, missing pages, or poor-quality scans.
- Report exceptions with clear notes to responsible parties and maintain error logs to help improve workflows and decrease rework.
- Handle confidential records with strict access protections, follow retention and deletion schedules, and comply with legal holds.
- Support audit processes by swiftly retrieving files and documenting chain-of-custody details.
- Collaborate closely with Human Resources, Finance, Operations, Legal, and Customer-facing teams to clarify documentation requirements.
- Communicate status updates regarding backlogs, processing times, and encountered issues.
Tools Utilized
Regularly use cloud storage platforms such as Google Drive, SharePoint, or Dropbox; document handling software like Adobe Acrobat or alternatives; spreadsheet applications; ticketing systems including Jira, Asana, or ServiceNow; e-signature tools; and basic office productivity programs.
Performance Metrics
- Maintain high accuracy by minimizing misfiling and metadata errors.
- Optimize time from document receipt to indexing and filing.
- Manage backlog size and daily processing volume effectively.
- Ensure rapid and complete file retrieval during audits.
- Adhere rigorously to compliance standards including access control and retention tagging.
Qualifications
- Prior experience in records management, administrative support, clerical duties, or document control is preferred.
- Exceptional attention to detail with consistent compliance to naming and filing guidelines.
- Ability to manage sensitive information responsibly and follow strict confidentiality protocols.
- Basic proficiency with computer tools including file management systems, spreadsheets, PDFs, and collaboration software.
