Job Overview

The Project Manager will lead and coordinate cross-departmental projects emphasizing regulatory licensing submissions, compliance efforts, audit preparations, and operational support within the virtual asset trading sector. This role is responsible for planning, executing, engaging stakeholders, tracking risks and issues, and ensuring project deliverables meet internal standards and regulatory conditions. Additionally, the position supports ad hoc organizational projects as needed.

Primary Responsibilities

  • Lead preparation and management of licensing application submissions across jurisdictions, ensuring completeness, accuracy, and regulatory alignment.
  • Collaborate closely with teams including Compliance, Legal, Finance, Operations, and Technology to collect, review, and organize necessary documentation.
  • Ensure consistency and readiness of application materials, policies, procedures, and governance documents prior to submission.
  • Keep abreast of regulatory changes in various regions, evaluating impacts on licensing projects, schedules, and workflows.
  • Liaise with external consultants, legal advisors, corporate service providers, auditors, and other vendors to manage deliverables, feedback, and follow-up actions for licensed entities.
  • Assist management in monitoring licensing progress, addressing regulator inquiries, and coordinating external advisor inputs until completion.
  • Coordinate and manage internal/external regulatory audits, compliance reviews, and assurance activities.
  • Track audit timelines, collect evidence across departments, and ensure timely preparation of required documentation and responses.
  • Manage audit request lists, track responsibilities and deadlines, and engage teams and external parties to ensure prompt resolution.
  • Supervise tracking and remediation of audit findings including development and monitoring of action plans with assigned owners and deadlines.
  • Maintain proper oversight of project documentation including records, approvals, trackers, meeting notes, audit evidence, application files, and reports to facilitate governance and audits.
  • Provide backup support for basic project administration, expense tracking, approvals, and bookkeeping coordination when required.
  • Ensure key project materials are recorded and retained appropriately for regulatory and internal governance purposes.
  • Offer administrative oversight to enhance departmental efficiency and smooth project delivery.

Required Qualifications and Experience

  • Bachelor’s degree in Finance, Law, Business Administration, Accounting, or related fields.
  • Between 5 to 8 years of pertinent experience in project management, regulatory licensing, compliance, audit support, financial services, fintech, or digital assets.
  • Preferred experience managing or coordinating licensing applications, regulatory filings, audits, external consultants, vendors, or compliance projects in multiple jurisdictions.
  • Preferred experience managing or supporting PMO teams or cross-functional delivery groups.
  • Strong attention to detail with an ability to handle complex documents, deadlines, and stakeholder inputs accurately.
  • Good grasp of regulatory frameworks and proactive in following developments across jurisdictions.
  • Excellent project planning, organization, and follow-up abilities to manage concurrent workstreams.
  • Excellent communication skills to liaise with internal teams, senior stakeholders, external consultants, auditors, regulators, and vendors effectively.
  • Ability to independently own deliverables, ensure team follow-up, and collaborate dynamically in a fast-moving environment.
  • Proficient in Microsoft Office Suite including Word, Excel, and PowerPoint.
  • Bilingual proficiency in English and Mandarin is required.
