Overview
This role supports the Operations Department by handling procurement activities and managing store and inventory processes. The position is responsible for sourcing materials and services in a timely, cost-conscious way while staying aligned with CAPEX and OPEX plans, and it also contributes to key administrative work within the department. The ideal candidate brings strong attention to detail, a proactive mindset, and solid experience in procurement plus store management in a busy, high-volume setting.
Tender and Sourcing Management
- Lead RFQ, RFP, and tender workflows from the launch stage through evaluation, recommendation, and final award.
- Build tender packs, evaluation sheets, project timelines, and bid comparison matrices.
- Check submitted bids for completeness, policy compliance, qualifications, exclusions, and any deviations.
Technical Evaluation and Scoring
- Coordinate technical assessments with internal teams and subject-matter experts.
- Verify that scoring is consistent, complete, and backed by clear comments.
- Compile technical scores and make sure all evaluation outcomes are fully documented and audit-ready.
Stakeholder Coordination
- Serve as the link between Etihad Arena departments and Central Procurement.
- Chase timely completion of evaluations, clarifications, approvals, and related procurement actions from internal stakeholders.
- Help teams prepare detailed specifications, scopes of work, and evaluation criteria.
Vendor Communication and Clarifications
- Handle formal communication with suppliers and bidders throughout the sourcing cycle.
- Arrange clarification exchanges, supplier meetings, presentations, site visits, and negotiation sessions.
- Keep a full and transparent record of all communication linked to sourcing activities.
Procurement Governance, Commercial Support and Reporting
- Ensure procurement activity follows internal policy, Delegation of Authority, and tender governance rules.
- Maintain complete procurement files and audit trails.
- Support commercial reviews, benchmarking, negotiations, award recommendations, and regular procurement status reports.
Requirements
The role calls for at least 5 years of experience in procurement and inventory/store management, ideally in an operations or venue environment. The candidate should understand technical material and equipment sourcing, have practical ERP experience, and ideally be familiar with Oracle Fusion. Strong negotiation, communication, interpersonal, analytical, organizational, and problem-solving abilities are essential. The job also requires the ability to juggle multiple priorities under pressure with limited supervision, along with solid knowledge of inventory control, warehousing best practices, procurement compliance, and vendor management.
Qualifications
A bachelor’s degree in Supply Chain Management, Business Administration, Logistics, or a related discipline is required. Professional certifications such as CIPS or CPM are preferred. A valid UAE driving licence would be an advantage.
