Role Overview
We are looking to appoint a Procurement Manager responsible for directing our centralized procurement operation. Reporting to senior leadership, this position manages vendor sourcing, purchasing, contract oversight, cost management, and governance of procurement activities across the company.
Key Responsibilities
- Formulate and apply procurement strategies to boost operational efficiency and generate cost savings.
- Create and uphold procurement policies, procedures, and governance standards.
- Enhance purchasing, budgeting, and vendor management workflows.
- Track procurement performance and seek opportunities for ongoing improvements.
- Conduct market research and benchmarking to secure competitive costs and services.
- Source, assess, onboard, and supervise vendors and service providers.
- Negotiate contracts, pricing structures, and service agreements effectively.
- Institute and manage a preferred vendor program.
- Supervise vendor performance and resolve compliance or service issues.
- Ensure all vendors comply with insurance, licensing, and regulatory requirements.
- Identify and alleviate risks related to procurement activities.
- Guarantee appropriate approvals, documentation, and controls for all purchases.
- Maintain thorough procurement records to facilitate audits and financial transparency.
- Ensure compliance with procurement policies and approval workflows.
- Assist procurement related to capital projects, significant repairs, renovations, and insurance claims.
- Manage tendering, vendor selection, and contract administration processes.
- Align procurement practices with property owner expectations and organizational goals.
- Confirm work orders are properly authorized, scoped, documented, and executed.
- Verify invoices accurately reflect approved work scopes, contracts, and completed tasks.
- Collaborate with Accounting for accurate and timely payment processing.
- Oversee procurement administration including purchase orders, vendor onboarding, and documentation management.
- Utilize software tools such as Yardi, HappyCo, and VendorPM to enhance operations and transparency.
- Keep accurate procurement records and generate reports as needed.
- Lead and support the Procurement Administrator.
- Create scalable procurement processes to accommodate portfolio expansion.
- Prepare and deliver reports concerning cost savings, vendor performance, and procurement metrics.
Candidate Qualifications
- At least five years of advancing experience in procurement, purchasing, or vendor management roles.
- Background in residential property management, real estate, multifamily housing, construction, or related sectors is advantageous.
- Proven track record securing favorable contracts and delivering measurable cost reductions.
- Strong knowledge of vendor management, procurement governance, and risk management methodologies.
- Experience with procurement and property management software such as Yardi is beneficial.
- Leadership experience including employee management and team development.
- Preferred post-secondary education in Business Administration, Supply Chain Management, Finance, or related disciplines.
- Excellent communication, negotiation, analytical, and problem-solving capabilities.
- Possession of a valid driver's license and reliable transportation is mandatory.
