Role Overview
The Operations Controller is integral to maintaining smooth and effective bus service operations. This role entails real-time oversight and support of frontline drivers, handling routine and emergency scenarios. Responsibilities include logging and analyzing service irregularities and ensuring schedules and fleet management meet regulatory and client standards.
Key Responsibilities
- Coordinate bus fleet and employee movements for scheduled routes ensuring compliance with safety and regulatory standards including HVNL and WHS.
- Work closely with workshop teams to plan and schedule vehicle maintenance, repairs, inspections and address defects.
- Manage fleet allocation adhering to compliance requirements and client service expectations.
- Maintain sufficient fleet availability across operational depots to satisfy service demands.
- Update and verify driver instructions, schedules, roster changes, and operational directives promptly.
- Provide effective operational cover during unforeseen events such as vehicle breakdowns, staff absence, delays, demand spikes, or adverse weather conditions.
- Communicate timely information and directives to management and team leaders to mitigate customer impact from incidents or disruptions.
- Immediately report accidents, incidents, and implement recovery plans, including behavioral issues, through company systems.
- Offer prompt support to frontline personnel during emergencies or incidents.
- Ensure all operational exceptions and occurrences are documented accurately to support performance analysis and reporting obligations.
Candidate Requirements
- Willingness and capability to work in shift patterns.
- Prior experience in scheduling or operations controlling within complex operational settings.
- Strong problem-solving aptitude, ability to handle complexity, multitask and excellent communication skills.
- Exceptional organizational and planning skills with a solid grasp of Heavy Vehicle National Law and regulations (NHVR).
- Proactive communication skills combined with professional work ethics and a results-driven attitude.
- Capability to build and maintain relationships with internal teams, clients, and vendors.
- Attention to detail, flexibility, resilience, and preparedness to adapt to changing environments.
- Proficient in Microsoft Office Suite (SharePoint, One Drive, Word, Excel, PowerPoint, Outlook) and quick to learn new systems and processes.
- Agreement to participate in drug and alcohol screening processes.
- Desirable: Experience in transport or logistics sectors and familiarity with Coach Manager planning software.
