Position Overview
We seek a skilled, enthusiastic, and detail-focused Mortgage Loan Assistant to become an integral part of our expanding team. This role entails partnering with a high-performing Loan Officer to manage the daily processing of mortgage files, coordinating communications with clients and business collaborators, and ensuring loans advance smoothly from application to closure.
The role transcends administrative tasks by emphasizing exceptional client care, proactive problem-solving, meticulous loan management, and establishing a trusted rapport among the Loan Officer, clients, and referral contacts.
Key Responsibilities
- Assist Loan Officers by collecting, reviewing, and confirming borrower documents, including income, assets, credit, and financial details.
- Compile complete and precise loan applications for submission.
- Maintain proactive communication with clients about loan progress, document requirements, and subsequent steps.
- Organize and uphold accurate loan files aligned with company policies, investor standards, and regulatory compliance.
- Manage electronic loan documentation by uploading, scanning, and organizing files.
- Track pending loan conditions and proactively secure outstanding documents.
- Act as the primary contact linking Loan Officers, underwriters, clients, Realtors, title companies, and other stakeholders.
- Arrange appointments, meetings, and communications on behalf of the Loan Officer.
- Deliver timely and precise updates regarding loan status.
- Ensure loan applications comply with company rules, investor guidelines, and regulatory mandates.
- Conduct quality control inspections to confirm loan files are accurate and complete for underwriting and closing.
- Manage scheduling, correspondence, client follow-ups, pipeline reporting, and other assigned projects.
Qualifications and Experience
- Prior experience as a Mortgage Loan Assistant or Mortgage Loan Processor is required.
- Familiarity with the Encompass Loan Origination System is a plus.
- Strong organizational capabilities with aptitude for multitasking and time management.
- Exceptional attention to detail and accuracy.
- Outstanding verbal and written communication skills with a client-focused approach.
- Effective problem-solving and critical thinking abilities.
- Proficiency with Microsoft Office Suite and mortgage-related software tools.
- Knowledge of mortgage lending guidelines, compliance standards, and industry regulations is preferred.
- Positive mindset, adaptability, and eagerness to engage in continuous learning.
