Position Overview
This role involves overseeing the daily functions of an assigned court, including managing staff, coordinating projects, facilitating training, providing administrative support, and generating and analyzing operational reports. The position operates under the supervision of a Judge or designated authority.
Key Duties
- Manage, guide, and appraise court staff, develop and maintain work schedules ensuring sufficient coverage, oversee timesheet compilation, address employee concerns, administer disciplinary actions or coaching, assist with performance evaluations, and act as a communication bridge between staff and management. Provide training on operational policies and procedures.
- Organize and prioritize work tasks to meet established goals; allocate assignments and ensure resources are available; monitor work progress and quality; consult staff on complex issues offering technical guidance; produce regular activity and progress reports; and contribute to updating procedure manuals as necessary.
- Ensure adherence to court-specific rules, local policies, and legal requirements; implement policy updates; oversee introduction of processes aimed at improving efficiency and workflow organization.
- Supervise and participate in the filing of court documentation, collection and processing of fines and fees, preparation and handling of deposits, and maintenance of court calendars.
- Generate, audit, and review various reports related to daily court functions to ensure accuracy, including payroll and complex operational documentation approvals.
- Process diverse departmental paperwork within designated deadlines following correct procedures; review and manage payroll, personnel, employment, status, and budget confirmation reports; prepare various forms, reports, correspondence including leave and performance appraisal reports; compile relevant data for departmental reporting; and maintain both digital and physical records.
- Utilize computer systems for data management, including word processing, spreadsheets, databases, presentations, email, and internet software; operate office equipment as needed to fulfill job responsibilities.
- Communicate with supervisors, employees, county officials, external agencies, and other stakeholders to coordinate tasks, exchange information, resolve issues, and report progress.
- Carry out additional related tasks as assigned.
Qualifications
Education and experience requirements include an associate degree in administrative services, business, human resources, or a related discipline, along with a minimum of three years providing administrative support within a court or legal setting and supervisory experience for lower-level staff. Equivalent combinations of education and experience will also be considered.
Licenses required: Valid Georgia driver’s license and Notary certification must be maintained.
Knowledge, Skills, and Abilities
- Understanding of local government operations and juvenile court programs, policies, and plans.
- Familiarity with modern office practices and procedures.
- Proficiency in Microsoft Word, Excel, PowerPoint, and related software applications.
- Strong computer skills tailored to administrative and operational job functions.
- Effective verbal and written communication abilities.
- Interpersonal skills to interact courteously and effectively with employees and the public.
- Capability to collaborate well with colleagues and the public.
- Flexibility to work varied hours, including evening commitments.
- Ability to manage multiple tasks and meet deadlines.

- Experience in managing payments and accounts within budgets.
- Competency using computers for data entry, document preparation, and accounting tasks.
- Operating office machines such as copiers.
Physical Requirements and Work Environment
The position involves light physical exertion, such as occasionally lifting or moving objects up to 20 pounds, mental acuity including logical decision-making and close visual focus. The workplace is generally safe and secure.
