Role Summary
The Human Resources Coordinator is part of the HR team, providing both recruiting and operational assistance to ensure efficient daily HR functions. Reporting to the Director, HR Affiliated Business Partner, this role focuses on recruitment logistics, candidate preboarding and onboarding, and general administrative tasks.
Work Schedule
This role follows a hybrid working model, requiring physical attendance at the Schaumburg office Monday through Thursday, 8:30 AM to 5:00 PM, with Fridays available as remote work days.
Key Responsibilities
- Manage candidate sourcing by posting job openings on approved platforms, screening applications, and conducting initial phone prescreens under leadership guidance.
- Coordinate interview schedules with hiring managers for all stages, act as the welcoming point of contact for candidates, send reminders, and collect feedback on candidate evaluations.
- Maintain and update candidate information within the Applicant Tracking System (ATS), produce basic recruiting reports, and liaise with external staffing agencies as authorized.
- Support preboarding efforts including background and reference checks, preparation of draft offer letters using approved templates for supervisor review.
- Collaborate with IT, Facilities, and Payroll to ensure timely provisioning of equipment, system access, and workspace arrangements before new hire start dates.
- Administer onboarding by following established checklists, conducting orientation sessions, collecting employment documents, and managing administrative processes for new employees.
- Organize calendar invitations and logistics for new hire training in coordination with hiring teams.
- Format and distribute regular digital newsletters and departmental communications as requested.
- Provide general administrative support to HR programs, maintain personnel files, and assist on special projects under the director's direction.
Candidate Requirements
- Bachelor's degree in Human Resources, Business Administration, or related disciplines.
- Between one to three years of HR administrative experience, particularly in recruitment operations and coordinating interviews.
- Proficient with Google Workspace applications (Gmail, Calendar, Docs, Sheets) and some experience with ATS or HR systems.
- Strong organizational skills, excellent time management, and meticulous attention to detail when managing multiple timelines and candidate communications.
- Excellent verbal and written communication capabilities paired with a personable and professional demeanor.
- Basic knowledge of employment practices, high regard for confidentiality, and an ability to work independently and collaboratively within a team.
Compensation
Annual salary range from $52,000 to $62,000.
