Job description
Overview
The HR & Data Control Manager will be accountable for formulating, implementing, and overseeing strategies related to administrative functions, human resources, office management, and IT infrastructure. This role aims to enhance efficiency, elevate employee morale, and contribute positively to organizational productivity. In addition, the manager collaborates closely with the Managing Director's office to support business planning, strategic implementation, and ensure organizational sustainability and financial health.
Key Responsibilities
- Conduct interviews and provide recommendations on recruitment decisions.
- Design and facilitate orientation programs aligned with the company's onboarding procedures.
- Monitor probationary periods of new employees and coordinate benefits in accordance with organizational policies.
- Oversee recruitment activities, including drafting and updating job postings and descriptions.
- Prepare formal employment contracts.
- Negotiate and coordinate renewal of medical, health, office, and vehicle insurance with vendors.
- Promote occupational health and safety, as well as employee welfare and wellness initiatives.
- Develop and manage human resource and administrative functions to support professional growth, employee compensation, performance evaluations, and regulatory compliance.
- Implement comprehensive training programs focused on staff tools, policies, and procedures.
- Manage grievance handling, disciplinary action, and termination processes for employees.
- Maintain and update employee records accurately.
- Administer vacation and sick leave tracking.
- Record and monitor employee attendance and punctuality.
- Assist the Managing Director in annual budgeting and financial planning.
- Support financial performance reviews and help implement efficiency improvement initiatives for long-term strategy and competitive positioning.
- Analyze monthly financial reports and advise on strategies to address financial gaps, risks, and opportunities.
- Collaborate during annual audits and coordinate audit requests with the Chief Accountant.
- Research market investments, economic trends, and support financial positioning.
- Provide advisory support to senior management.
- Manage pension matters with Sagicor Life, including member enrollment, terminations, advisory dissemination, and trustee meeting attendance.
- Represent the organization at external forums, negotiations, seminars, and public hearings.
- Evaluate and advise on staff policies and procedural improvements.
- Ensure confidentiality and compliance with the Data Protection Act in handling staff and beneficiary information.
- Administer monthly payroll processing and record maintenance.
- Coordinate manufacturing of uniforms and safety gear adhering to Occupational Health and Safety standards.
- Collaborate with Secretariat to support board of directors’ affairs, including appointments and use of company seal.
- Manage applications and renewals for Tax Compliance Certificates, export, and procurement licenses.
- Communicate and coordinate building maintenance with landlord.
- Oversee sub-leasing arrangements with tenants.
- Maintain professional and transparent relationships with external partners such as vendors, customers, and consultants.
Requirements
- Master’s degree in business administration or a related field preferred.
- Minimum of five years experience in administrative or general management roles.
- Strong understanding of labor laws and human resources policies and procedures.
- Thorough knowledge of office systems, practices, and equipment.
- Basic understanding of accounting principles and methods.
Minimum education
Master's Degree
