Job Responsibilities

The HR Coordinator will provide vital administrative assistance to the AGUP 2 HR Lead, specifically in executing recruitment and onboarding for contracted personnel. Key duties include:

  • Preparing and maintaining mobilization plans and organization charts related to staffing.
  • Managing the recruitment process from initiation through approval stages.
  • Coordinating personnel arrivals at assignment sites, working with headquarters, affiliates, and Technical Assistance Service (TAS) agents.
  • Supporting project personnel throughout execution until demobilization is complete.
  • Performing general HR activities as required.
  • Serving as the central contact for HR activities linked to Technical Assistance Services within AGUP 2.
  • Maintaining and regularly updating the mobilization plan as needed.
  • Collaborating with affiliate HR supports and service teams to ensure resource mobilization aligns with project needs.
  • Initiating documentation such as Contract Request Forms, Job Descriptions, and Evaluation Criteria with requester collaboration.
  • Handling recruitment tracking, coordinating interviews, distributing candidate CVs, and facilitating final candidate selection.
  • Requesting and tracking Purchase Request (PR) and Purchase Order (PO) issuance with the Cost Control Team.
  • Coordinating mobilization steps alongside Contract Engineers.
  • Informing IT support and Data Manager for new hires to organize IT resource allocation and system access.
  • Managing contract renewals, role/location changes, and communicating related updates with stakeholders.
  • Maintaining strict confidentiality throughout project activities.
  • Adopting a flexible approach to additional project-related tasks as requested by management.

Qualifications and Skills

  • University degree with 3 to 6 years of experience in HR roles.
  • Excellent communication skills and ability to maintain confidentiality.
  • Curiosity and eagerness to learn continually.
  • Advanced proficiency in Microsoft Office applications, particularly Excel; experience with Power BI is advantageous.
  • Proactive, calm under pressure, results-oriented, and able to work independently in fast-paced, demanding environments.
  • Strong understanding of organizational procedures and processes.
  • Fluency in English is required; knowledge of Arabic and French is beneficial.
  • Experience within TotalEnergies is a plus.
  • Current residency in the UAE.
